About the Role

This remote Executive Assistant position supports Human Resources leadership and plays an important part in keeping the HR function running smoothly. The role requires a highly organized, proactive professional who can manage calendars, coordinate travel, prepare communications and presentations, and handle confidential matters carefully. It also includes support for HR meetings, events, and leadership sessions, along with close coordination with other executive assistants to improve scheduling and administrative efficiency.

Key Responsibilities

  • Deliver senior-level administrative support to HR Vice Presidents and other leaders, including complex calendar management across different time zones.
  • Arrange domestic and international travel, including itineraries, lodging, and expense documentation.
  • Create, format, and circulate presentations, reports, agendas, and correspondence for leadership meetings and events.
  • Help plan and coordinate HR events, team meetings, off-site sessions, and leadership development activities.
  • Act as a communication bridge for internal and external stakeholders, ensuring timely follow-up and clear coordination.
  • Manage confidential and sensitive information with a high degree of discretion and professionalism.
  • Work with other executive assistants to improve scheduling practices and administrative workflows.
  • Assist with budgeting-related tasks such as expense tracking, purchase orders, and invoice handling.
  • Keep digital records, files, and documentation well organized for easy access and compliance needs.
  • Look for ways to strengthen administrative processes and increase team efficiency.
  • Monitor incoming communications, prioritize urgent items, and escalate when needed.
  • Support document creation and editing, including memos, presentations, and data analysis reports.
  • Help coordinate business rhythm planning by organizing core meetings and ensuring logistical readiness.

Qualifications

  • High school diploma or equivalent is required; an associate or bachelor’s degree is preferred.
  • At least 5 years of professional experience supporting senior executives, ideally in a corporate or global environment.
  • Demonstrated success supporting multiple senior leaders in a fast-paced setting.
  • Advanced proficiency with Microsoft Office tools such as Outlook, PowerPoint, Word, and Excel, plus familiarity with travel and expense systems.
  • Strong organization, time management, and attention to detail.
  • Excellent written and verbal communication abilities.
  • Ability to manage confidential information with discretion and professionalism.
  • Strong problem-solving ability and a proactive approach to work.
  • Flexibility to adapt to changing priorities and business requirements.
  • Excellent interpersonal skills and comfort working in a matrixed organization.
  • Experience arranging complex travel and coordinating meeting/event logistics.
  • Solid judgment and the ability to handle several priorities at once.
