Job description

Job purpose

This role is responsible for delivering senior-level administrative, coordination, and organizational support to the Group Executive office so daily operations run smoothly and efficiently. The position also acts as an important communication bridge between executive leadership, hospital management teams, physicians, and outside stakeholders, while upholding strict standards of professionalism, confidentiality, and discretion.

Executive support

  • Oversee the executive calendar, appointments, meetings, and travel planning.
  • Sort and prioritize meeting invitations and requests to support effective time allocation and scheduling.
  • Develop agendas, presentations, reports, correspondence, and meeting packs.
  • Write polished emails, official letters, and other documents on behalf of the executive.
  • Review incoming calls, emails, and requests and route them based on priority.

Meeting and committee coordination

  • Arrange executive sessions, medical leadership meetings, board committee meetings, and strategic review discussions.
  • Prepare agendas, gather reference materials, and document meeting minutes.
  • Monitor action points and follow through to ensure stakeholders deliver on time.
  • Set up both virtual and face-to-face meetings across several hospitals and locations.

Stakeholder management

  • Serve as the main contact person for internal and external stakeholders working with the executive.
  • Handle communication with hospital CEOs, CMOs, Medical Directors, department heads, and physicians across the group.
  • Develop effective working relationships with executive leaders and support teams.

Administrative and operational support

  • Keep files, records, and confidential documents well organized and secure.
  • Monitor key initiatives, projects, and deadlines assigned to the executive office.
  • Support the preparation of executive dashboards, performance summaries, and management presentations.
  • Assist with coordination of medical leadership initiatives and strategic healthcare projects.
