Role overview

MBIE is offering a purpose-led opportunity for an Executive Assistant to support the General Manager of New Zealand Government Procurement. This is a varied, high-responsibility role based in Wellington, where you will act as a dependable partner in managing priorities, relationships, and a busy schedule.

The position is full-time and permanent, with a salary band of $72,869 to $81,848 plus KiwiSaver and wellness benefits.

What you will do

You will provide senior-level administrative and executive support, helping the General Manager stay on top of commitments, deadlines, and key decisions. The role requires a strong sense of judgement, confidentiality, and the ability to keep multiple moving parts on track.

  • Handle the General Manager’s diary, inbox, and outgoing correspondence in a proactive and efficient way.
  • Help manage overlapping priorities, commitments, and deliverables.
  • Draft briefings, presentations, meeting packs, and other supporting documents.
  • Arrange leadership meetings, workshops, branch activities, and events.
  • Coordinate travel, finance-related tasks, and other administrative processes.
  • Maintain effective working relationships across MBIE, ministerial offices, and outside stakeholders.
  • Treat confidential and politically sensitive information with care and discretion.
  • Serve as an important communication point between the General Manager, branch teams, and stakeholders.
  • Take part in the wider Executive Assistant network through collaboration, shared learning, and support.

About the team

New Zealand Government Procurement helps public agencies improve value through procurement by providing leadership, guidance, systems, and services. The branch creates policies, rules, guidance, and solutions that support effective, responsible, and efficient procurement across the public sector. It also oversees All-of-Government contracts and works to improve procurement outcomes for government, businesses, and New Zealanders.

  • Solid background in executive assistance or a similar senior support role.
  • Experience working with senior leaders and balancing several competing priorities.
  • A positive, approachable, and self-starting attitude, with openness to learning and shaping the role.
  • Strong planning and coordination ability, including workflow management and prioritisation.
  • Sound judgement and discretion when dealing with sensitive or confidential matters.
  • Broad familiarity with administrative systems and processes.
  • Understanding of how government agencies or large complex organisations operate.
  • Strong relationship-building skills and the ability to earn trust with senior leaders and stakeholders.
  • Ability to work well across teams and organisations.
  • Clear written and spoken communication skills.
  • A practical, adaptable, and solutions-oriented mindset.
  • Confident use of Microsoft Office, especially Outlook, Word, Excel, and PowerPoint.
  • Legal right to live and work in New Zealand.
