Job description
Position Summary
We are seeking a skilled Executive Assistant to join the Content team of a prominent global entertainment firm. Based in Toronto, this 6-month contract role offers the chance to support senior leaders in a dynamic, fast-moving creative environment. The successful candidate will excel at multitasking, possess strong organizational skills, and maintain meticulous attention to detail while contributing to smooth day-to-day operations.
Primary Responsibilities
- Deliver executive assistance to one or two senior executives by managing intricate calendars and scheduling meetings across various time zones.
- Organize both domestic and international travel arrangements, develop comprehensive itineraries, and handle the submission and reconciliation of travel and expense documentation.
- Monitor projects throughout stages of content creation and production using company-specific tools and databases.
- Oversee the intake and management of creative materials such as pitches, scripts, and supporting documents.
- Document meeting discussions thoroughly and disseminate action points and important updates to relevant stakeholders.
- Prepare presentations, reports, and other written materials utilizing Google Workspace applications including Docs, Slides, and Sheets.
- Assist with the coordination of team meetings, off-site sessions, and special company events.
- Engage with internal teams and external partners, ensuring effective and professional communication at all times.
- Maintain confidentiality and exercise discretion while managing sensitive information.
Qualifications
- A minimum of 3 years’ experience as an Executive Assistant, Administrative Assistant, or Project Coordinator.
- Preferably experienced in providing support within media, entertainment, film, television, or other creative sectors.
- Outstanding organizational, multitasking, and time management abilities.
- Excellent oral and written communication skills.
- Capability to operate independently in environments characterized by deadlines and rapid pace.
- Demonstrated professionalism, sound judgment, and confidential handling of private information.
- Proficient in Google Workspace tools such as Gmail, Google Calendar, Docs, Drive, and Slides.
- Familiarity with project management and collaboration software considered advantageous.
- French language skills are an added benefit.
