Role Overview

This is a high-trust, high-impact position that goes beyond a standard Executive Assistant role. As Executive Assistant / Chief of Staff to the Founder & CEO, you will serve as the operational centre of a rapidly growing, globally distributed business. You will work as a direct extension of the CEO, staying ahead of needs, clearing roadblocks, connecting priorities, and making sure the right actions happen at the right time across a complex organisation.

The role spans strategic projects, investor and partner relationships, brand work, product launches, team coordination, content, travel, and other priorities as they emerge. It is suited to someone who enjoys fast-changing environments and gets satisfaction from helping strong performers operate at a higher level.

Key Responsibilities

  • Run the CEO's calendar, inbox, priorities, and time management with strong judgement, speed, and confidentiality.
  • Create briefing notes, research packs, and decision-support materials for meetings, calls, and leadership discussions.
  • Track commitments, deadlines, and outcomes across the leadership team to ensure follow-through and accountability.
  • Spot operational bottlenecks early and design better systems, workflows, processes, and SOPs to solve them.
  • Represent the CEO in internal meetings when needed, carrying forward the direction and helping decisions move ahead.
  • Coordinate cross-functional initiatives from planning through delivery across product, brand, technology, and marketing.
  • Work with external agencies, partners, and specialists, including branding, legal, and technology collaborators.
  • Support major strategic efforts such as platform development, product introductions, brand growth, and expansion into new markets.
  • Draft, manage, and tailor communications on the CEO's behalf for internal, external, media, and partner audiences.
  • Build and maintain important relationships with investors, collaborators, speakers, and high-value clients.
  • Handle international travel arrangements, executive events, speaking commitments, and retreat logistics.
  • Coordinate team offsites, client events, and global brand activations end to end.

Requirements

  • 3 to 6+ years of experience in an Executive Assistant, Chief of Staff, operations, or high-performance support role, ideally in a fast-scaling startup, coaching, media, or personal brand setting.
  • Demonstrated ability to manage many competing priorities within a complex, distributed organisation.
  • Strong project management capability with a track record of delivering initiatives end to end with limited oversight.
  • Comfort using modern workplace tools such as Google Workspace, Slack, Notion, CRM systems, and AI tools.
  • Background in, or genuine interest in, personal development, coaching, or wellness is highly valued.
  • Experience working across time zones or in international settings is an advantage.
  • You should be highly organised, intellectually quick, adaptable under pressure, and able to communicate with precision.
  • Discretion, reliability, and integrity are essential due to access to sensitive information.
  • You should be aligned with growth, personal development, and a mission-driven way of working.

Additional Information

This is a full-time remote role. The preferred working location/time-zone fit is APAC or UAE. The role reports directly to Calvin Coyles, Founder & CEO.
