About the Role
Parsons is seeking a seasoned Executive Assistant fluent in Arabic and English to support senior leadership in Doha, Qatar. This position is centered on keeping executive operations organized, communications orderly, and sensitive information handled with care. The role helps senior management stay on top of schedules, meetings, documents, and follow-ups so day-to-day work runs smoothly and decisions can be made efficiently.
Key Responsibilities
- Plan and maintain the daily calendar for top management, ensuring time is used efficiently and schedule clashes are avoided.
- Review incoming requests for the executive’s time, then sort and prioritize them appropriately.
- Arrange meetings and coordinate agendas, logistics, and any supporting materials required in advance.
- Work closely with senior leadership to keep them updated on upcoming commitments, responsibilities, and deadlines.
- Prepare, edit, and type meeting minutes, reports, correspondence, and other documents while keeping formatting accurate and consistent.
- Track open items and follow up on pending actions with only limited direction.
- Handle incoming phone calls, share useful information with callers, and route calls to the right contacts when needed.
- Make outgoing calls as required by the role.
- Welcome visitors, guide them to meeting rooms, and assist with their questions when necessary.
- Look into administrative issues and help resolve them within the department.
- Maintain accurate, error-free documentation and support departmental efficiency and productivity.
- Coordinate with the Travel team for travel, transport, and hotel arrangements for top management.
- Receive, sort, and distribute incoming mail for the department.
- Prepare outgoing mail and ensure it is sent to the correct recipients.
- Keep computerized records of departmental activities updated to support smooth information flow and task tracking.
- Take on additional duties as needed and manage priorities with minimal supervision.
Required Qualifications and Skills
- Bachelor’s degree in Business Administration, Office Management, Secretarial Studies, or a similar discipline.
- At least 5 years of experience in executive administration or in supporting senior-level management.
- Strong ability to organize work, manage time well, and handle several tasks and deadlines at once.
- Excellent spoken and written communication skills in both Arabic and English.
- Capability to perform well under pressure while maintaining accuracy and close attention to detail.
- Strong proficiency with MS Office tools, particularly Word, Excel, PowerPoint, and Outlook.
- Demonstrated discretion and professionalism when dealing with confidential information.
- Collaborative mindset with solid interpersonal and teamwork skills.
Preferred Experience and Additional Strengths
- A certificate in Secretarial Studies or Office Administration is an advantage.
- Experience supporting senior leaders in corporate, real estate, or large project settings is preferred.
- Ability to identify needs early and solve problems proactively.
- Professional judgment, tact, and diplomacy when dealing with internal and external stakeholders.
