About the Role

We are looking for a seasoned Executive Assistant and Office Manager to provide dedicated support to two senior executives at a rapidly expanding venture capital firm headquartered in NoHo, New York. This firm operates in a dynamic, entrepreneurial environment with a compact team of fewer than 10 professionals alongside a small administrative staff. The role bridges executive assistance and office management within a fast-moving setting that demands superb organizational capabilities, responsiveness, and sound decision-making.

Key Responsibilities

  • Offer top-tier executive assistance to two senior leaders, managing their demanding schedules and facilitating seamless communication.
  • Handle intricate domestic and international travel arrangements, ensuring comprehensive itineraries and smooth logistics.
  • Oversee expense reporting processes as required.
  • Function as the Office Manager, guaranteeing efficient daily operations of the New York office.
  • Manage office logistics including supplies management, pantry restocking, and maintaining general office orderliness.
  • Coordinate handling of incoming mail and deliveries promptly and accurately.
  • Plan and coordinate team events and internal functions to foster collaboration and morale.
  • Provide administrative support to the wider team on various needs and projects.
  • Collaborate closely with a fellow administrative professional to ensure unified and effective office support.
  • Maintain a high level of organization, responsiveness, and detail-orientation in a fast-paced, shifting work environment.
  • Undertake additional projects and operational initiatives as necessary to support the organization's goals.

Qualifications

  • Extensive executive assistant experience, ideally 8 to 10 years supporting senior-level professionals.
  • Background in financial services—venture capital, private equity, hedge funds, or investment banking—is preferred but not mandatory.
  • Superior organizational skills with a keen eye for detail.
  • Ability to stay composed and effective under pressure or in rapidly changing circumstances.
  • Strong emotional intelligence and interpersonal communication capabilities.
  • Highly proactive, ambitious, and motivated with a flexible approach to work.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office applications including Outlook, Word, Excel, and PowerPoint.

Working Conditions and Benefits

  • Work schedule: Monday through Friday, 9:00 am to 6:00 pm, fully onsite in the NoHo office.
  • Compensation includes a base salary ranging from $150,000 to $170,000 depending on experience.
  • Eligible for a target bonus of approximately 25%.
