Role Overview

The company is looking for a highly organized and proactive Executive Assistant and Office Manager to act as a central support point for the leadership team. This person will balance strategic administrative support with hands-on responsibility for keeping the Carrollton headquarters running efficiently. The position calls for strong discretion, attention to detail, and the ability to manage priorities across leaders based in Carrollton, Dallas, Austin, and Portland.

Executive Assistant Responsibilities

  • Manage the CEO’s calendar in full and assist with scheduling for the COO, CCO, and SVP across multiple time zones.
  • Organize domestic travel and occasional international trips, including transportation, lodging, flights, and complete itineraries.
  • Prepare, submit, and reconcile executive expense claims accurately and on time.
  • Handle incoming executive communication, including drafting, screening, and organizing emails, memos, and internal messages.
  • Support board meetings, leadership offsites, executive meetings, and company events by coordinating agendas, logistics, audiovisual needs, catering, and post-meeting action items.
  • Gather research and assemble briefing notes, presentations, and reports as requested by leadership.
  • Safeguard sensitive information and maintain confidentiality at all times.
  • Act as a liaison between executives and internal or external contacts.
  • Assist with onboarding coordination for new executive-level hires.

Office Manager Responsibilities

  • Oversee daily office operations at the Carrollton headquarters and help maintain a professional and welcoming workplace.
  • Track office supplies, printer consumables, and related inventory, then reorder proactively when needed.
  • Keep kitchen and refrigerator supplies stocked, including food and beverage ordering.
  • Manage vendor relationships for janitorial services, security, copier and printer support, and building operations.
  • Coordinate with IT for equipment ordering, new-hire setup, and escalation of basic technical issues.
  • Receive, send, and manage mail, courier deliveries, and packages.
  • Maintain an orderly, clean, and professional office environment.
  • Support facilities requests and work with property management when necessary.
  • Help plan and run onsite events, team meetings, and employee appreciation activities.

Requirements

  • A high school diploma or GED is required; a bachelor’s degree in Business Administration, Communications, or a related discipline is also noted as preferred/expected.
  • At least 5 years of experience in an Executive Assistant, Office Manager, or combined EA/OM role supporting senior leadership or C-suite executives.
  • Experience supporting several executives at once in a distributed or remote leadership setup.
  • Advanced ability with Microsoft Office tools such as Outlook, Word, Excel, and PowerPoint, or with Google Workspace.
  • Prior use of expense management systems such as Concur, Expensify, or similar platforms.
  • Strong written and verbal communication skills, along with a polished and professional presence.
  • Exposure to project management or productivity tools such as Asana, Monday.com, Slack, or Teams is an advantage.
  • Sound judgment, discretion, and a high level of integrity when handling confidential matters.
  • Excellent organizational ability with the capacity to juggle several priorities and deadlines.
  • Availability to work in person at the Carrollton, Texas headquarters Monday through Friday.
  • The role is fully onsite, with occasional travel or support needed for events in the Dallas metro area.
  • Ability to lift and carry up to 25 lbs. for office and facilities-related tasks.
  • May require occasional extended hours during board meetings, major events, or peak business periods.

Compensation

The annual salary range for this role is $65,000 to $90,000.
