About the Role

We are supporting a well-regarded sports organisation in Dublin to find a competent Executive Administrator. This role offers a confidential recruitment process with full organisational details provided to shortlisted candidates. The position represents a unique chance to gain experience in a dynamic, prominent environment by working closely with senior executives and ensuring seamless operational support across the business. The appointed individual will deliver high-quality administrative assistance to the Executive team, in a work culture that emphasizes proactive service, employee wellbeing, and professional growth.

Location: Dublin with hybrid working arrangements and occasional international travel.

Key Responsibilities

  • Efficiently manage an Executive Director's calendar, anticipating and adapting to scheduling changes, including coordinating pre-meeting briefs and post-meeting debriefs.
  • Organize comprehensive travel plans and itineraries to guarantee smooth logistics.
  • Compile pertinent documentation, take minutes at meetings, and prepare necessary supporting materials.
  • Handle expense processing promptly, adhering strictly to corporate policies.
  • Coordinate ticketing, hospitality services, and hosting duties for various events.
  • Ensure timely submission of gift and hospitality declarations prior to external event participation.
  • Support internal event planning including venue coordination and travel arrangements.
  • Provide backup support for the Executive Assistant to the CEO as needed.
  • Coordinate and convey meeting schedules to all relevant parties.
  • Prepare professional meeting documents and board packs with consistency.
  • Take minutes during senior leadership and board meetings.
  • Offer reception support during busy afternoons and staff absences.
  • Demonstrate flexibility by assisting other departments and tasks as business needs evolve.

Candidate Profile

  • Demonstrable experience supporting senior leaders effectively.
  • Strong proficiency managing complex diaries and calendars.
  • Advanced skills in Microsoft Office suite, including Outlook, Word, PowerPoint, and Excel.
  • Excellent verbal and written communication capabilities.
  • Keen attention to detail with strong proofreading aptitude.
  • Experience in recording formal meeting minutes accurately.
  • Ability to cultivate positive relationships with stakeholders locally and internationally.
  • Professional demeanor in representing the Executive group.
  • Capacity to work autonomously and manage a diverse, changing workload.
  • Resilience and endurance to prioritize under pressure.
  • A flexible, proactive attitude with readiness to assist beyond primary responsibilities.
  • A comfort level in a fast-moving work environment.
