Overview
The Executive Administrative Assistant provides crucial administrative support to the Chief Investment Officer and Chief Administrative Officer at Onity Group Inc., playing a vital role in managing calendars, communications, and documentation to ensure alignment with organizational objectives. This position requires handling sensitive information discreetly and contributing to the smooth operation of executive functions.
Key Responsibilities
- Manage complex calendars and appointments for two senior executives, ensuring prioritization of strategic business objectives.
- Coordinate travel arrangements, including itineraries and expense reporting, maintaining attention to detail for business-related trips.
- Serve as a gatekeeper for the executives’ time, facilitating effective access and communication while anticipating leadership needs.
- Draft, proofread, and compose professional correspondence and presentations using Microsoft Office tools.
- Organize logistics for meetings, employee engagement events, and affinity groups, both onsite and remotely.
- Provide backup support to other executive assistants, including assistance with CEO and Board meetings.
- Maintain strict confidentiality and exercise sound judgment in handling sensitive information.
- Record and distribute minutes, agendas, and related meeting documentation.
- Undertake special projects as assigned, demonstrating initiative to support team goals.
Required Qualifications
- College degree or equivalent professional experience preferred.
- Minimum of 5 to 10 years’ experience supporting senior executives, preferably in large or publicly traded companies.
- Exceptional written and verbal communication skills with strong organizational abilities.
- Proven capability as an executive and team assistant with competent decision-making and time management skills.
- Familiarity with HR, finance, banking, or investment office functions is advantageous.
- Proficient user of Outlook, Word, Excel, PowerPoint, Visio, Adobe Reader/Writer, SharePoint, and communication platforms such as Teams or Zoom.
- Experience working within hybrid work environments, balancing remote and office duties.
- Ability to maintain discretion when handling confidential materials and operate effectively under pressure with limited supervision.
- Must be able to attend the West Palm Beach office approximately once per month for Monthly Business Reviews and Board Meetings.
Additional Information
This mostly remote position requires periodic presence in the office about one week each month as needed for board and business review meetings. The role demands a proactive approach, flexibility in managing multiple concurrent projects, and the ability to communicate decisively with various departments and vendors.
