Opportunity Overview

This position supports a financial technology company that provides full-service payment solutions for mid-market businesses. The organization is focused on simplifying financial transactions through modern technology and strong customer service, with the goal of making payments safer, easier, and more accessible.

The company is hiring a highly organized, proactive, and resourceful Executive Admin / Chief of Staff to work closely with the CEO and contribute to the company’s continued growth.

Key Responsibilities

  • Deliver senior-level administrative support to the CEO and leadership team, including managing calendars, arranging meetings, and handling travel coordination.
  • Review, organize, and respond to the CEO’s inbox so communication stays timely and efficient.
  • Draft meeting agendas, record notes during meetings, and track follow-up actions through completion.
  • Serve as a communication bridge between the CEO and internal or external partners to keep information flowing clearly.
  • Support the creation of presentations, reports, and other materials for both internal and external discussions.
  • Assist with planning and running company gatherings such as offsites, team events, and board meetings.
  • Manage office operations and facilities-related needs to maintain a smooth and productive workplace.
  • Help coordinate the onboarding process for new hires, including logistics, orientation, and training support.
  • Work across departments to improve operational effectiveness and help advance strategic priorities.
  • Take on additional special projects and tasks as assigned by the CEO.

Required Qualifications

  • At least 5 years of experience in executive support, office administration, or a closely related role, ideally in a startup setting.
  • Strong planning and time-management abilities, with the capacity to juggle several priorities at once.
  • Excellent communication skills in writing and speech, with the professionalism needed to interact with a wide range of stakeholders.
  • A self-directed, practical approach to solving problems and a strong eye for accuracy and detail.
  • Comfort using Microsoft Office, Google Workspace, and project management software.
  • Ability to manage confidential matters with a high degree of discretion.
  • A bachelor’s degree in Business Administration or a similar field is preferred.
  • Background in financial technology is an advantage.
  • Marketing experience is also considered a plus.
