About the Role

The Ontario Chamber of Commerce is seeking an Events Specialist for a 15-month contract position. This role is crucial for the planning and execution of various Chamber of Commerce and corporate events, with a significant focus on supporting the World Chambers Congress, a major international conference scheduled for September 2027. The ideal candidate possesses strong logistical expertise in international event planning, excels in a fast-paced environment, and combines operational efficiency with innovative thinking.

Event Planning & Execution

  • Provide comprehensive event support, including logistics management, monitoring critical paths and budgets, and managing partnerships.
  • Offer on-site support and troubleshooting for events on behalf of the Events team.
  • Lead the registration process for all signature events.
  • Assist Project Leads (Senior Manager of Events and Senior Events Specialist) with key deliverables such as venue and catering coordination, registration systems, marketing materials, and on-site support.
  • Ensure timely ordering and delivery of production, logistics, and program materials, including printed programs, event supplies, and signage.
  • Develop and manage project critical paths and milestones for assigned specialty events, from RFP to implementation.
  • Support project leads in the planning and execution of a multi-day international conference in September 2027.
  • Oversee essential event logistics including venues, catering, audiovisual requirements, transportation, accommodations, and on-site operations.

International Conference Support

  • Manage large-scale event registration systems, ensuring data accuracy, generating reports, and handling attendee communications.
  • Assist with international attendee needs, including providing information on Canadian visa processes and invitation documentation.
  • Coordinate logistics for exhibitors and sponsors, covering booth requirements, sponsorship deliverables, and on-site assistance.

Sponsorship & Exhibitor Relations

  • Support the onboarding, fulfillment, and relationship management of sponsors and exhibitors.
  • Coordinate sponsorship assets, signage, and event-day execution to ensure contractual obligations are met.

Collaboration & Creativity

  • Work effectively with internal teams, external partners, vendors, and stakeholders.
  • Contribute innovative ideas to enhance attendee experience, engagement, and event branding.

Post-Event Reporting

  • Assist with post-event evaluations, surveys, reporting, and debrief sessions.
  • Track key performance metrics and provide insights for continuous improvement.

Additional Information

This is a contract position for 15 months, running from June 2026 to September 2027. The role offers an inclusive and collaborative work culture, the chance to engage with leaders across Ontario's economy, and a competitive compensation package. The salary range is between $65,000 and $70,000 annually, with potential for a bonus at the contract's end. The position is based at the OCC office located at 180 Dundas Street West, Suite 2105, Toronto, ON M5G 1Z8, with flexibility for remote work on certain days, subject to management approval.
