Role Overview

As an Events Operations Coordinator, you will support the growth of national conference and event operations while helping maintain a polished, consistent brand experience across every stage of the process. The role centers on conference planning, logistics, and operational support, with close collaboration across Sales, Marketing, Creative, and Operations to manage event materials, inventory, and follow-up after events.

This position is based in the greater Chicagoland area, including Chicago and nearby suburbs. It requires occasional travel to the Elgin office about 3 to 4 times per year, as well as travel to national conferences around 3 to 4 times per year. Some trips and events may involve evenings and weekends.

Compensation and Employment Details

The annual salary for this position is between $50,000 and $60,000. The role is classified as exempt, which means it is not eligible for overtime pay.

Key Responsibilities

  • Manage conference schedules, registrations, exhibitor deadlines, logistics, and booth setup execution.
  • Coordinate conference collateral, sponsorship commitments, staffing plans, shipping, and travel communications.
  • Work with the Operations team to make sure conference assets and materials are assembled, dispatched, and ready for use.
  • Assist with post-event reporting, lead transfer, and event debrief activities.
  • Develop and update playbooks, timelines, inventory trackers, and repeatable event processes.
  • Create standardized booth kits and materials that support efficient event delivery at scale.
  • Partner with Sales, Marketing, Creative, and Operations to align on event planning and execution.
  • Prepare creative briefs and track deadlines, approvals, and final delivery for conference assets.
  • Monitor post-event lead follow-up and identify any gaps in sales activity.
  • Keep event and lead-related data accurate and well organized.
  • Support webinar coordination, lead queue coverage, incentive distribution, and occasional community engagement tasks.
  • Learn to independently support conference attendance and onsite execution when required.
  • Take on other related responsibilities as needed.

  • Events are managed proactively and delivered on time.
  • Materials, inventory, and logistics remain organized, repeatable, and ready for every event.
  • Cross-functional workflows stay efficient and support strong event execution and follow-up.

Requirements

  • At least 2 years of experience in event coordination, conference support, marketing operations, sales support, project coordination, or a similar area.
  • Strong planning and project management abilities, with a high level of accuracy and attention to detail.
  • Comfort handling several projects and deadlines at the same time.
  • Clear written and spoken communication skills.
  • Ability to work well across teams in a fast-moving environment.
  • Prior experience with Google Workspace, Microsoft Office, and CRM tools such as Salesforce is preferred.
  • Willingness and ability to travel occasionally for conferences and events.
