Role overview
The Events Executive is responsible for handling all on-property details needed to deliver group events smoothly. This includes creating and maintaining event checklists and schedules, resolving issues as they arise, and acting as the main point of coordination between clients, external vendors, meeting planners, and other stakeholders.
Key duties
The role involves planning and confirming room layouts and setup needs for special events, updating records and reservations in computer systems, and sending information or documents by computer, mail, or fax. It also includes using standard office equipment, apart from computers, and preparing weekly payroll documentation for the department.
Team support and leadership
The position supports management in recruiting, training, scheduling, reviewing performance, coaching, counseling, disciplining, and motivating associates. The executive also acts as a role model and the first point of contact for the Guarantee of Fair Treatment and Open Door Policy process.
Standards and conduct
The role requires strict adherence to company policies, safety and security procedures, and completion of required safety training and certifications. The associate must maintain a clean and professional appearance, safeguard confidential information, protect company assets, and inspect tools, equipment, and machines visually when needed.
Guest and coworker interaction
Greet guests in line with company standards, anticipate service needs, respond quickly and courteously, and express sincere appreciation. Communicate clearly and professionally, prepare documents accurately, answer telephone calls with proper etiquette, build positive working relationships, support team goals, and respond appropriately to colleague concerns.
Physical expectations
The job also requires meeting quality standards and handling physical tasks that may include moving, lifting, carrying, pushing, pulling, and placing objects weighing under 50 pounds without assistance.
Preferred qualifications
Applicants should have a high school diploma or an equivalent G.E.D. qualification. Prior experience of less than 1 year in a related role is preferred, along with at least 2 years of supervisory experience. No license or certification is required.
