Role Overview

The Events Assistant will be instrumental in ensuring the seamless execution of events, providing essential hands-on support to the Event Operations team. This role is focused on creating high-caliber, industry-leading experiences by coordinating and managing a variety of logistical tasks, thereby guaranteeing the efficient and successful delivery of all Leaders events from inception to completion.

Responsibilities

  • Conduct research to identify promising new venues for future event development.
  • Source and evaluate potential suppliers, comparing offerings to secure optimal products and services.
  • Contribute to the on-site brand experience, including the creation of printed materials and brandbook assets.
  • Assist in the preparation and distribution of event invitations for awards, managing any last-minute modifications to the attendee list.
  • Support pre-event planning by updating walkthrough presentations and detailed staff briefing documents.
  • Coordinate travel and accommodation arrangements for staff members and guest speakers.
  • Compile staff and speaker rooming lists, liaising with hotels to confirm and distribute details.
  • Arrange hotel accommodations for individuals not staying at the main venue, such as Cvent personnel, photographers, videographers, and hosts.
  • Manage all hospitality box requirements for events, including overseeing the box matrix, allocations, setup, and catering needs.
  • Develop supplementary wayfinding and box signage as required.
  • Compile and manage the event packing list.
  • Procure any necessary additional items.
  • Arrange for van and crew services for the transportation of all equipment to and from the office and Stamford Bridge, supervising the loading and unloading of items to designated areas.
  • Oversee general event logistics, including coordinating courier services for the delivery of event materials and equipment.
  • Provide direct on-site support at smaller events and forums to ensure smooth operations on the day.

Requirements

  • Demonstrate enthusiasm and a proactive approach to tasks.
  • Exhibit flexibility and adaptability in work style.
  • Possess a genuine passion for events; prior event experience is advantageous but not strictly required.
  • Proven ability to manage multiple tasks and event logistics concurrently.
  • Exhibit excellent attention to detail to ensure accuracy in event materials, communications, and planning documents.
  • Be confident in liaising effectively with internal teams and external suppliers to meet deadlines.
  • Be comfortable working collaboratively with colleagues to achieve high-quality event outcomes.
  • Possess a basic understanding of budgeting, assisting with cost comparisons and supplier sourcing.
  • Proficient in Microsoft Office Suite (PowerPoint, Excel, Word), particularly for creating briefings, production schedules, and presentation slides.

Additional Information

This is a fixed-term contract position, running from July to November.
