Job description

Role Overview

Mission 44 is seeking an exceptionally organized and proactive Events and Engagement Coordinator to join our Engagement Directorate. This role is integral to building meaningful relationships with donors and delivering memorable, high-impact events. The position blends administrative support responsibilities with event execution within a vibrant, mission-driven environment.

Work Hours, Location, and Salary

  • Permanent contract
  • Salary of £33,300 per annum
  • Full-time position with 37.5 hours weekly, offering flexible working hours
  • Hybrid work arrangement requiring a minimum of two days per week at our London office

Key Responsibilities

Event Coordination (60%)

  • Assist in planning and delivering a variety of events including fundraising dinners, receptions, round tables, plus trackside hospitality and donor experiences.
  • Manage invitations, reply tracking, and attendee communications while providing excellent customer service as the main contact for event participants.
  • Handle all event logistics such as venue booking, catering, accessibility accommodations, and supplier coordination.
  • Support preparation of event materials including briefing documents, attendee lists, and run sheets.
  • Collaborate with Fundraising team to aid in sponsorships, ticket sales, and auction item procurement, creating targeted outreach collateral as needed.
  • Work with Fundraising Data and Operations Manager to ensure accurate and timely input of attendee and donor data into the CRM system (Virtuous).
  • Align events materials with branding and messaging in partnership with the Communications Team.
  • Provide day-of event assistance including registration, hospitality, and logistics oversight.
  • Assist with post-event evaluations, collecting feedback and preparing reports.

Engagement Team Operations (40%)

  • Organize internal meetings, workshops, and planning sessions efficiently.
  • Manage scheduling and diaries for internal meetings and select high-level funder meetings, especially for the Chief Engagement Officer.
  • Prepare agendas, record minutes, and monitor follow-up actions.
  • Arrange domestic and international travel, accommodations, and detailed itineraries for team members and guests.
  • Support budget monitoring, purchase orders, and expense claims.
  • Maintain operational documents, team trackers, and project plans on Monday.com.
  • Serve as the primary contact for administrative and operational queries within the team.
  • Ensure data quality and compliance alongside the Fundraising Data and Operations Manager.

Candidate Profile

Required Skills and Experience

  • Proven experience in supporting event planning, coordination, and delivery with strong career interest in event management.
  • Ability to handle multiple tasks efficiently under tight deadlines while maintaining high work quality.
  • Exceptional attention to detail and commitment to delivering accurate results and outstanding participant experiences.
  • Experience drafting event communications, managing guest lists, registrations, and attendee data with precision.
  • Proficient in managing and maintaining CRM/database records including data entry, cleansing, and reporting.
  • Strong communication capabilities and ability to build relationships with colleagues, suppliers, venues, and external stakeholders.

Desirable Attributes

  • Experience handling special events for high-net-worth individuals or corporate donors.
  • Basic familiarity with design software such as Canva.
  • Project management certifications like Agile, Prince II, or Scrum.
  • Background in working with young people and embedding safeguarding in event operations.
  • Exposure to international work environments.
  • Experience related to Formula 1, motorsport, STEM, or educational sectors.
