Role overview
We are looking for an Event Producer to coordinate marketing events and manage the moving parts that make them successful. The position centers on logistics, vendor coordination, attendee registration, production support, and post-event analysis to help measure business impact.
Core responsibilities
- Plan and oversee all event logistics from start to finish for in-person, virtual, and hybrid programs, including timelines, run-of-show documents, and on-site coordination.
- Manage attendee registration and check-in through platforms such as Eventbrite, Cvent, Bizzabo, or similar tools, including badge printing and access control.
- Support virtual production on platforms like Hopin, Zoom, ON24, and WebEx, including rehearsals, stream changes, and live technical issue resolution.
- Coordinate suppliers and contracts for venues, catering, production partners, AV teams, and temporary personnel, while negotiating terms and confirming service levels are met.
- Partner with demand generation and marketing teams to execute event promotion through email, paid social, organic social, and landing page/CMS support using WordPress.
- Work within Salesforce and marketing automation systems such as Marketo, Eloqua, Pardot, or HubSpot to build attendee journeys, nurture flows, and accurate lead routing.
- Handle sponsorship planning and fulfillment, including package development, onsite activation, signage, and post-event deliverables.
- Manage exhibitor needs, including floor plans, booth coordination, and exhibitor services to ensure a smooth attendee experience.
- Operate lead retrieval and qualification workflows so captured leads are correctly passed to sales and tagged in the CRM for follow-up.
- Build and track event budgets, process invoices, reconcile costs, and prepare post-event financial reporting.
- Collaborate with creative partners or use Adobe Creative Suite to develop event materials, presentations, and sponsor collateral.
- Use project management tools such as Asana, Trello, or MS Project to coordinate stakeholders, track deadlines, and keep deliverables on schedule.
Qualifications
The ideal candidate brings 2 to 5 years of experience in event coordination or marketing events, with exposure to in-person, virtual, and hybrid formats. Hands-on experience with event platforms and registration systems, virtual event tools, CRM and marketing automation platforms, email marketing, audience segmentation, social media tools, and sponsorship/exhibitor management is expected.
Additional information
This is an onsite contract opportunity based in Downtown Toronto, with work required 1 day per week in office. The rate is $35 per hour, paid on a T4 basis. The start date is in early July 2025. This is a newly created role.
