Position Overview

The organization is seeking a motivated and detail-conscious Entry-Level Administrative Professional to join the Operations team. This role is tailored for individuals starting their administrative careers who take pleasure in organizing information, supporting various teams, addressing daily operational tasks, and ensuring seamless business operations.

Key Duties and Responsibilities

  • Deliver daily administrative assistance to managers and cross-functional teams.
  • Create, revise, format, and organize company documents, reports, presentations, and spreadsheets.
  • Maintain orderly digital filing and documentation systems while ensuring confidentiality.
  • Manage and distribute incoming communications through shared inboxes to appropriate team members.
  • Assist with data entry and upkeep of records within multiple internal systems.
  • Support coordination of internal workflows and administrative processes.
  • Help track operational assignments and milestone progress.
  • Prepare operational reports using standardized templates.
  • Monitor task completion and follow up with responsible parties on pending items.
  • Facilitate onboarding procedures for new employees.
  • Maintain and update standard operating procedures and internal documentation.
  • Coordinate meetings across various time zones including scheduling, sending invites, preparing agendas, recording notes, and distributing action items.
  • Organize virtual events and team sessions.
  • Draft professional emails and internal announcements, ensuring smooth communication between departments.
  • Respond promptly and professionally to routine inquiries.
  • Manage digital office systems and shared resources and monitor administrative supplies and software subscriptions.
  • Support vendor documentation, travel arrangements, and expense records where necessary.
  • Update internal databases and generate weekly and monthly administrative reports alongside quality checks for accuracy.
  • Identify and recommend improvements to administrative procedures and participate in initiatives enhancing operational efficiency.
  • Assist with implementation of new administrative tools and methodologies.

Qualifications and Skills

  • Minimum education: High school diploma; Associate’s or Bachelor’s degree in Business Administration, Management, Communications, or related field preferred.
  • 0 to 2 years of relevant administrative, office support, customer service experience or internships.
  • Strong organizational aptitude and ability to manage multiple tasks simultaneously.
  • Excellent verbal and written communication skills in English with high accuracy and attention to detail.
  • Capable of prioritizing tasks and meeting deadlines independently in a remote setup.
  • Professional demeanor coupled with good interpersonal skills and eagerness to learn new processes and systems.
  • Previous remote work experience, familiarity with project coordination, and Arabic language proficiency are advantageous.

Technical Proficiencies

  • Experience or familiarity with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Competency with Google Workspace (Docs, Sheets, Slides, Drive, Calendar).
  • Use of video conferencing tools such as Zoom, Microsoft Teams, and Google Meet.
  • Collaboration software like Slack and task management platforms including Asana, Trello, ClickUp, or Monday.com.
  • Working knowledge of cloud document management systems.
