It publishes a diverse range of fiction and nonfiction, exploring past, present, and future narratives across genres like contemporary, romance, speculative fiction, memoir, and biographical nonfiction, while fostering community engagement through programs like Women & Words.

Role Overview

The Editorial Assistant will provide meticulous administrative and editorial assistance to the editorial director and executive editor, supporting the acquisition and publication of up to 15 frontlist commercial fiction and nonfiction titles annually. This hybrid role requires presence at the New York City office 1–2 days weekly, with potential additional onsite involvement for events or programming.

Key Responsibilities

  • Manage project coordination among editorial team, internal departments, authors, and agents from acquisition through publication, ensuring timely processing of materials.
  • Facilitate communication to meet cross-departmental deadlines for new releases and reprints.
  • Support editorial staff with author relations and outreach to promote title visibility.
  • Track and assess numerous submissions via email and online portals, prepare reader reports and rejection communications, and research market-competitive titles.
  • Assist with mailings, expense reporting through Concur, contract processing, financial tracking including P&L and advances, and administrative preparations for launches.
  • Maintain calendars, coordinate meetings virtually or in person, and document minutes for editorial review boards.
  • Oversee transmission of manuscripts and related materials, monitor permissions status, and manage legal read submissions.
  • Compose descriptive and promotional materials such as announcements, book info sheets, galley and cover copy, website content, and reading guides.
  • Collaborate with production, design, marketing, publicity, rights, and sales teams to deliver needed support and information.
  • Update and maintain key metadata and information in MyHouse system.
  • Coordinate special projects including onsite video shoots and annual events for the Storehouse Voices incubator program.
  • Handle reprints and corrections of titles as required.
  • Occasionally travel may be necessary.

Candidate Qualifications

  • Minimum of one year experience in an office or relevant internship preferred.
  • Exceptional attention to detail and proofreading skills.
  • Strong organizational abilities and proactive problem-solving mindset.
  • Capability to work independently and collaboratively in a dynamic office setting.
  • Effective and professional communication for scheduling and project updates with stakeholders.
  • Excellent writing, reading comprehension, research, and analytical competencies.
  • Highly developed project management skills, adept at multitasking and meeting strict deadlines.
  • Proficient in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
  • Enthusiasm for commercial nonfiction and fiction titles, with market awareness a plus.
  • Familiarity with social media engagement and project management tools is advantageous.

Additional Information

This position offers an annual salary of $55,000 with eligibility for profit awards or bonuses based on company performance. The role is based in New York City's office (1745 Broadway) and requires candidates to live within a manageable commuting distance or relocate accordingly.
