Role Overview
This position sits within the document management team and contributes to the implementation of a project-specific, needs-based document management concept.
Key Responsibilities
- Monitor, evaluate, and coordinate document and workflow progress with internal teams and external partners, especially suppliers, while aligning interfaces, responsibilities, processes, tools, and related steps.
- Create templates and supporting tools for document management, such as forms and registers or overview lists for document tracking.
- Coordinate operational document management activities and prepare recurring status reports.
- Clarify project-specific conditions, prerequisites, and expectations for the document management concept together with the core project team and PMO, including applicable guidelines, internal and external interfaces, and contractor agreements.
- Help develop a tailored document management concept covering scope, document types, classification, filing structure, templates, naming conventions, document control, roles, and the processes for creation, review, approval, and distribution.
- Support planning for as-built documentation and coordinate with relevant internal stakeholders and suppliers on scope, structure, formal requirements, formats, deadlines, naming, and filing structure.
- Assist the project team in documenting specification changes across project phases and assessing their impact on the overall system.
Requirements
- At least 2 years of proven experience working with virtual project spaces and document management tools, along with strong digital aptitude.
- Solid technical foundation to support project-related processes.
- Confident use of MS PowerPoint, Word, and Excel.
- Very good German and English skills, at least B2 level.
