Key Responsibilities
- Design and execute systems to ensure efficient handling of all project-related documents, including communication, design, and construction files.
- Coordinate document flow among project operations, engineering teams, construction units, and other departments to maintain seamless communication.
- Utilize expertise in document control procedures and electronic management systems such as Aconex to administer and streamline document handling.
- Implement solutions for document and records management, overseeing data management applications with a focus on document control.
- Manage document processing across defined procedural stages, ensuring adherence to guidelines.
- Register, monitor, and track documents using standard document management programs, maintaining databases and generating reports like logs and transmittals as needed.
- Assist team members in locating and capturing electronic documents effectively.
- Maintain and manage data distribution schedules tailored to client, project, and departmental requirements.
- Ensure compliance with retention policies, organize document cataloging, packing, and manage long-term storage or disposal during project closeout.
- Supervise and guide the activities of the project document control team.
- Collaborate effectively within teams to meet deadlines and contribute positively to project outcomes.
- Perform additional tasks aligned with the role's responsibilities.
Qualifications and Skills Required
- Bachelor’s degree or equivalent combination of education and experience, with a minimum of five years of relevant industry experience and at least three years specifically in document control within construction or engineering sectors.
- Proficient in electronic document management systems, notably Aconex, and skilled in MS Office applications such as Word, Excel, and PowerPoint.
- Comprehensive understanding of document control workflows and adherence to corporate document management procedures.
- Strong written and verbal communication skills in English, along with excellent organizational and interpersonal abilities to engage effectively with project staff and leadership.
