Job description
Job purpose
This position is responsible for handling document control tasks such as preparing inspection orders, keeping records organized, and making sure the wider team can quickly access the files and information they need.
About the Maritime & Shipping Cluster
The Maritime & Shipping Cluster within AD Ports Group is led by Noatum Maritime, an internationally connected and fast-moving business with operations across several countries. Backed by a fleet of more than 250 vessels and many years of industry knowledge, it provides a broad range of maritime services aimed at covering a wide spectrum of needs at sea.
Key responsibilities
- Duplicate, scan, and archive documents in an orderly manner.
- Check files for correctness and make edits where needed, including contracts.
- Review and refresh technical paperwork such as manuals and workflow documents.
- Share project-related document copies with internal teams.
- Maintain both physical and electronic filing systems.
- Build reusable templates for future documentation.
- Locate and provide files when requested by staff or clients.
- Oversee the movement of documents across the organization.
- Protect confidential details and terms of agreements.
- Draft inspection-related reports as required.
- Carry out additional duties assigned by the Fleet Director.
Requirements
- A diploma or an equivalent qualification is required.
- Strong working knowledge of the MS Office suite is essential.
- Good English communication skills are needed; Arabic is an advantage.
- At least 2 to 4 years of relevant experience is required.
- Prior experience in a similar position, particularly within the maritime sector, is considered a plus.
