Job description

Position Duration

This role is fixed-term, expected to last approximately 24 months.

Key Responsibilities

  • Manage documentation control and serve as the main point of contact coordinating between internal departments, clients, and suppliers to ensure all documents are accurate, current, and delivered on schedule.
  • Maintain and update the Master Document List utilizing Excel and SharePoint, ensuring adherence to documentation standards and guidelines, especially related to As-Built documentation.
  • Review documents for formal compliance, archive them in a revision-secure manner, and ensure compliance with legal and internal regulations while tracking versions, approvals, and document status.
  • Continuously improve standards, procedures, and tools in document management to enhance efficiency and transparency.
  • Participate in important meetings with clients and suppliers and provide support to project teams through document management expertise.
  • Conduct training sessions for users on client and document management systems and support them in system use.
  • Generate routine analyses and reports within the scope of responsibilities.

Candidate Profile

  • Completed vocational training in a technical or commercial field, ideally complemented by further education in document management or an equivalent qualification.
  • Minimum of two years’ experience in document control, preferably within EPC environments, oil and gas, chemical plant construction, or related sectors.
  • Familiarity with Document Management Systems (DMS), Enterprise Resource Planning (ERP) software, SharePoint, and standard MS Office applications.
  • Structured and solution-focused working style with strong quality awareness and sense of responsibility.
  • Team-oriented, with the determination to drive tasks forward successfully.
  • Quick learner with excellent organizational skills and flexibility to handle dynamic project environments.
  • Technical interest paired with a practical, hands-on approach.
  • Fluent German skills suitable for negotiation and good command of English.
