The Global Delivery Services Centre (GDSC), a vital segment within Mott MacDonald, focuses on optimizing project delivery globally. This unit supports projects from conception through completion, adhering to international design standards and ensuring high levels of quality and innovation.

Role Purpose

The Document Controller's key responsibility is to offer thorough document management support across significant global projects. Ensuring precise processing, controlling, quality verification, and distribution of project documentation in line with global standards, client requests, and project protocols is crucial to maintaining document authenticity, compliance, and seamless team communication.

Key Responsibilities

  • Distribute project documents through ProjectWise following predefined workflows, naming standards, and distribution lists.
  • Handle incoming and outgoing documents accurately, ensuring correct status, revisions, and approvals are applied.
  • Assist project teams in updating documents to Work in Progress (WIP) status when necessary.
  • Conduct meticulous quality assurance checks on project deliverables, verifying adherence to formatting guides, templates, metadata, and project standards.
  • Ensure documents comply with contractual, procedural, and auditing requirements before release.
  • Manage comments within ProjectWise promptly and precisely, forwarding them to relevant teams and tracking resolutions.
  • Maintain strict version control during review cycles to avoid issuing outdated or incorrect information.
  • Serve as a liaison for document control inquiries between internal and external project teams.
  • Facilitate effective communication by ensuring stakeholders receive timely and accurate documentation.
  • Keep updated document registers and issue logs.
  • Support audit and reporting activities by providing documentation status updates and proof as required.

Candidate Profile

Essential Qualifications and Experience:

  • Bachelor’s degree in any non-engineering discipline.
  • Proven experience as a Document Controller on large-scale infrastructure or construction projects.
  • Proficiency with ProjectWise and other Electronic Document Management Systems (EDMS).
  • Ability to manage document workflows effectively.
  • Exceptional attention to detail coupled with strong organizational capabilities.

  • Background working on major global infrastructure initiatives.
  • Experience collaborating with multiple teams and managing EDMS workflows.
  • Understanding of document lifecycle management and quality assurance processes.
