Dispensing Officer

Role Overview

The Dispensing Officer holds responsibility for precisely dispensing both raw and packaging materials essential for production activities. This must be carried out following established procedures, Good Manufacturing Practices (GMP), and rigorous safety standards to ensure that materials issued meet required quantity, quality, and documentation criteria, thereby facilitating smooth production operations.

Key Duties

• Dispense raw and packaging materials in accordance with approved Batch Manufacturing Records (BMR) and material requisitions.
• Confirm the identity, batch number, condition label, and expiry date of materials prior to dispensing.
• Accurately weigh and measure materials utilizing calibrated tools and equipment.
• Maintain cleanliness and appropriate environmental conditions within the dispensing area.
• Document all dispensing processes precisely in logbooks and ERP systems such as Darwinbox or SAP.
• Follow FIFO (First In First Out) and FEFO (First Expiry First Out) protocols when issuing materials.
• Collaborate with Quality Assurance teams for line clearance and approval before dispensing materials.
• Correctly label dispensed materials and oversee their proper transfer to production units.
• Promptly report any discrepancies, deviations, or damaged materials to supervisors.
• Engage in stock counting, auditing, and inventory reconciliation tasks.
• Strictly adhere to GMP, safety, and regulatory standards at all times.

Qualifications and Experience

• Possession of OND, HND, or Bachelor’s degree in Pharmacy, Chemistry, Biochemistry, Microbiology, or a closely related discipline.
• Between five to ten years of professional experience within pharmaceutical manufacturing, ideally in warehouse or dispensing roles.
• Strong understanding of GMP, handling of materials, and inventory management principles.
