Director of Events and Member Services

Position Overview

The Director of Events and Member Services is tasked with the comprehensive planning, management, and execution of a broad spectrum of private club events, aimed at delivering outstanding experiences to members and their guests. This role directs the full event lifecycle from initial consultation through to post-event evaluations, while preserving the club's high standards.

This individual collaborates with multiple departments to boost revenue, stimulate member participation, and sustain the club's prestige as a top venue for social and business functions.

Primary Responsibilities

• Organize and oversee all club-sponsored events such as social mixers for members, corporate gatherings, weddings, and private parties.
• Engage with club members, committee leaders, and external clients to assess event requirements, preferences, and budget limits.
• Create detailed event plans including proposals, schedules, and venue layouts.
• Collaborate with Food and Beverage, Culinary, and Facilities teams to ensure flawless event execution.
• Identify and manage relationships with outside vendors like entertainers, florists, AV technicians, and decorators.
• Work with Food & Beverage Director and Executive Chef to develop customized menus.
• Coordinate with Membership Director to incorporate events that enhance member retention and recruitment.
• Lead weekly meetings to review upcoming event details with internal teams.
• Manage the youth member Gameroom operations including hiring, staff training, and scheduling.
• Partner with the Youth Committee Chair to deliver engaging and inventive programs for younger members in the Gameroom.
• Supervise front desk Member Services staff including recruitment, training, and scheduling.
• Be the main contact for members and clients booking events, designing engaging activities to improve member experience.
• Gather member feedback to optimize future events.
• Promote events via club newsletters, email campaigns, social media, and other channels in cooperation with the marketing department.
• Develop and manage event budgets ensuring financial alignment and cost control.
• Track event profitability through cost monitoring and vendor negotiations.
• Provide financial summaries and recommendations post-event.
• Manage all logistical aspects of event setup and execution, adhering to club policies and safety protocols.
• Maintain comprehensive records and documentation related to events.

Qualifications and Skills

• Proven experience in event planning, particularly within private clubs, hospitality, or luxury services.
• Excellent organizational and time-management capabilities.
• Strong interpersonal and communicative skills focused on delivering outstanding customer service.
• Creative with acute attention to detail.
• Familiarity with event management software and proficiency in Microsoft Office.
• Capability to juggle multiple projects efficiently under tight deadlines.
• Willingness to work flexible hours, including nights, weekends, and holidays if necessary.
