Role overview

An opportunity has opened for an organised and proactive administrator to support the Diabetes Integrated Team at Aneurin Bevan University Health Board. The post plays an important part in helping deliver coordinated diabetes care across community and primary care settings.

Working within a busy multidisciplinary environment, you will provide broad administrative support and help keep services running smoothly. A key responsibility will be organising and managing patient appointments for annual glycaemic reviews held in GP practices and community locations.

You will be a key contact for patients, colleagues and external partners, providing a professional, helpful and timely service.

Main duties

  • Arrange and manage clinics and patient appointments through electronic scheduling systems.
  • Maintain clinician diaries and prioritise booking needs effectively.
  • Respond to telephone enquiries from patients and healthcare professionals, offering guidance and support where needed.
  • Set up meetings, prepare agendas and record minutes when required.
  • Assist with data gathering, reporting tasks and circulation of documents.
  • Work closely with clinical colleagues to support efficient service delivery.
  • Handle information confidentially and follow data protection requirements.
  • Be prepared to work flexibly across different sites to support team needs.

Requirements

  • Good general education, including GCSE English and Maths at grades A to C.
  • Working knowledge of administrative procedures and systems.
  • Strong communication skills and the ability to interact effectively with a range of people.
  • Confidence using spreadsheets and booking systems is desirable.
  • Experience with NHS IT systems and Microsoft Office 365 is desirable.
