Role Overview
The Data Entry Officer plays a critical role in gathering, verifying, organizing, analyzing, and reporting operational data to support informed decisions throughout the organization. This position ensures data accuracy, integrity, and timely delivery by managing comprehensive data systems and crafting insightful reports and dashboards.
Key Duties
- Collect operational data from multiple sources such as field teams, weighbridges, GPS/telematics, and other approved inputs.
- Input and update data accurately in spreadsheets, databases, fleet management, and other relevant platforms.
- Ensure correct use of data collection tools including mobile apps, forms, and GPS devices by field personnel.
- Train and support field staff on effective data capture techniques and standards.
- Verify data precision before submission and resolve inconsistencies in coordination with supervisors.
- Conduct regular quality checks to detect errors, duplicates, or missing data, and maintain validation records.
- Cleanse and validate datasets to guarantee completeness and correctness, recommending improvements for data quality.
- Prepare routine operational reports on waste volumes, fleet usage, route efficiency, and service KPIs.
- Develop dynamic dashboards, charts, and visual reports to showcase operational performance.
- Generate ad hoc analytical summaries to assist management and other departments in decision-making.
- Monitor fleet GPS and telematics data, analyzing vehicle utilization, route compliance, fuel consumption, and idle times.
- Provide actionable insights for optimizing fleet operations and maintenance plans.
- Compile environmental monitoring data such as landfill intake, leachate volume, and gas emissions for regulatory submissions to entities like NEMA and county authorities.
- Maintain and administer operational databases ensuring secure storage, regular backups, and accessibility aligned with company policies and Kenya Data Protection Act 2019.
- Create training materials and SOPs to bolster data management practices across the organization.
- Perform additional tasks as directed by the Operations Manager.
Required Qualifications and Experience
- A bachelor's degree or diploma in Statistics, IT, Computer Science, Data Management, Business Administration, or a related discipline.
- Additional certifications in Data Analysis, GIS, or Database Management are advantageous.
- At least 2 to 4 years’ experience in data management, operational reporting, or data entry.
- Familiarity with GPS/telematics or fleet management systems is beneficial.
- Experience in waste management, logistics, transport, or environmental services is preferred but not mandatory.
- Knowledge of mobile data collection tools like KoBoToolbox or ODK is desirable.
Technical Expertise and Competencies
- Proficiency in advanced Microsoft Excel functions such as Pivot Tables, VLOOKUP/XLOOKUP, data validation, and dashboard creation.
- Experience working with databases and operational management platforms.
- Skilled in developing professional reports and visualizations using Excel, Power BI, Tableau, or similar software.
- Ability to interpret GPS and telematics data effectively.
- Strong understanding of data governance and adherence to Kenya Data Protection Act, 2019.
- Meticulous attention to detail and accuracy in data handling.
- Robust analytical abilities to detect trends and identify opportunities for improvements.
- Excellent organizational skills for managing extensive operational data sets.
- Clear communication skills, capable of explaining technical information to diverse audiences.
- Self-driven, proactive, and able to operate independently.
