About the Role

As part of the College's Digital Strategy 2026–2029, efforts are underway to build an integrated digital environment to minimize administrative work, boost operational efficiency, and improve user experience for all community members.
The Data and Systems Administrator plays a crucial part in this initiative by ensuring reliable, accessible, and well-maintained information across the College's key digital platforms. Additionally, the individual will provide administrative assistance for examinations, functioning as an Exams Officer during their first year.
Responsibilities
- Maintain the accuracy, reliability, and consistency of data within the College's core systems, coordinating quality checks, data cleansing, and validation activities.
- Collaborate with data owners to enhance data quality, ensuring compliance with the Personal Data Protection Act (PDPA) and establishing clear data governance documentation including dictionaries, process maps, and reporting timetables.
- Administer core digital systems such as iSAMS, Schoolbox, One Cognita, Seesaw, Arc, SchoolsBuddy, and future platforms by managing user access, data imports/exports, permissions, and system integrations.
- Assist with system maintenance tasks including upgrades, testing, documentation, and communication with IT teams and vendors to optimize services.
- Oversee Daily Cover Schedule administration, handling cover requests and their approval.
- Generate operational reports and dashboards, contribute to Power BI reporting development, and analyze trends in attendance, behaviour, wellbeing, and operational metrics to improve clarity and automation of reports.
- Track daily attendance, follow-up on absent registers, maintain precise attendance records and reports, assist in attendance communication, raise safeguarding concerns timely, and support pastoral care through attendance data analysis.
- Provide administrative support for examinations, assuming the role of Exams Officer in the inaugural year.
- Support the execution of the Digital Strategy 2026–2029 projects by assisting with the deployment of new systems and integrations, identifying workflow enhancements, facilitating automation, and managing change through testing and documentation.
- Deliver high-quality user support, including creating guidance materials, aiding staff training, and promoting best practices in data management and digital service adoption.
