Opportunity

Billy Reid is hiring a Creative Project Manager to act as the central coordinator for the creative team, ensuring marketing and brand initiatives are delivered on time across campaigns, e-commerce, and routine communications. The role keeps work planned, prioritized, and aligned with the overall marketing schedule.

This position handles pre-production and post-production coordination, including readiness checks, dependency tracking, approvals, traffic after production, and asset delivery. On-set execution and specialist booking may be handled with support from production partners when needed.

The role works closely with the Director of Brand Creative to maintain creative alignment and supports the Senior Marketing Manager in executing the broader marketing calendar and channel requirements.

Key Responsibilities

Creative planning and calendar management

  • Maintain the master schedule for creative work across campaigns, e-commerce, retail, and daily marketing communications.
  • Coordinate creative timelines with launch plans and merchandising milestones.
  • Keep teams working in advance of deadlines instead of reacting at the last moment.

Intake, brief quality, and prioritization

  • Manage the intake flow for creative requests and make sure briefs are complete, prioritized, and matched to campaign timing before work starts.
  • Turn requests into actionable plans with deliverables, timing, dependencies, and backward schedules.
  • Recommend compromises when scope and timing do not align.

Asana ownership and operating cadence

  • Own Asana from start to finish.
  • Allocate work to Design and Copy according to priority and team capacity, in coordination with creative leadership.
  • Lead kickoffs, weekly check-ins, and handoffs; monitor progress daily and surface risks early.
  • Maintain strong visibility so stakeholders know what is moving, delayed, or blocked.

Production readiness

  • Track pre-production readiness across teams, including deliverable lists, sample status, pack lists, shot list inputs, approvals, routing plans, and schedule inputs.
  • Bring together cross-functional inputs so shoots are fully prepared before execution.

Post-production traffic and asset governance

  • Manage the post-production flow from selects to retouch rounds, approvals, final files, and delivery specifications.
  • Maintain single-source-of-truth standards such as folder structure, file naming, access permissions, version control, and basic metadata or tagging.
  • Set and enforce a clear completion standard for assets, including correct specs, approvals, naming, storage, and delivery readiness.

Continuous improvement

  • Spot process breakdowns and put lasting fixes in place through templates, checklists, gating, and regular cadence.
  • Use lightweight automation and AI tools to improve intake, scheduling, tracking, and reporting.
  • Document workflows so systems can scale without additional headcount.

Requirements

  • At least 3 years of experience in creative project management, creative operations, or integrated production settings, either brand-side or agency-side.
  • Strong practical experience using Asana or a comparable project tracking platform.
  • Working understanding of creative production and post-production processes.
  • Ability to communicate clearly, insist on clarity, manage timelines, and escalate issues professionally.
  • Highly organized, calm under pressure, and proactive in execution.
