Overview

Galapagos Federal Systems, LLC invites applications for a part-time, onsite Course Registrar / Training Administrator position supporting a U.S. Space Force Delta 7 training program at Peterson Space Force Base, Colorado. The role involves detailed administrative duties to ensure smooth functioning of classified space intelligence training courses, aiding in mission enhancement.

Key Responsibilities

  • Manage student enrollment and registration processes for classified training sessions.
  • Keep updated records including course rosters, attendance, and training documentation.
  • Assist in organizing course schedules, training calendars, and enrollment management.
  • Prepare and distribute essential course-related materials like welcome letters, completion certificates, and feedback forms.
  • Collaborate with instructors, leadership, students, and government representatives to coordinate training delivery.
  • Monitor multiple courses and cohorts, ensuring deadlines and administrative tasks are met.
  • Support logistical preparations for training sessions and handle administrative tasks before, during, and after classes.
  • Compile training records, post-event reports, and course performance metrics aligned with program standards.
  • Assist with security procedures such as processing visit requests, verifying clearances, and coordinating classified facility access.
  • Maintain confidentiality and accuracy of sensitive training information while delivering professional administrative assistance.

Qualifications and Experience

  • Must possess an active TS/SCI security clearance.
  • Minimum education requirement is a high school diploma or equivalent.
  • At least three years of experience in administrative roles such as registrar functions, training coordination, records management, or event support.
  • Proven experience managing course rosters, student records, attendance logs, and training schedules.
  • Skill in preparing and managing course materials, including evaluations and certificates.
  • Background working with Department of Defense, Air Force, Space Force, Intelligence Community, or other federal agencies is preferred.
  • Capacity to manage tasks across multiple concurrent courses and meet overlapping deadlines.
  • Familiarity with classified environments and secure government facility protocols.
  • Knowledge of security clearance processing, visitor controls, and classified facility access is beneficial.
  • Experience supporting military or federal education and professional development programs.
  • Understanding of training management systems, learning management systems, or student information databases.
  • Experience with DoD e-learning platforms such as DAFeL or Skillsoft Percipio is advantageous.

Education Preferences

  • Associate's or bachelor's degree in education, business administration, human resources, records management, training administration, or similar disciplines is preferred.
  • Relevant certifications in training coordination, project management, records management, or administrative support add value.

Additional Information
