Overview

A financial services organization in New York’s Financial District is hiring a Corporate Administrative Assistant to support a busy, collaborative team. The role suits an organized professional who can balance multiple priorities, manage detailed logistics, and provide polished, dependable support in a fast-moving office.

The position offers a salary of $52,000 per year plus overtime opportunity.

Key Responsibilities

  • Manage complex calendars, meeting requests, and scheduling needs across several stakeholders.
  • Organize domestic and international travel, including all related arrangements and logistics.
  • Draft, review, and submit expense reports accurately and on time.
  • Book conference rooms, coordinate catering, prepare meeting materials, and handle event logistics.
  • Set up interviews and assist with recruiting coordination.
  • Handle incoming and outgoing mail, including sensitive financial paperwork.
  • Greet visitors and act as a professional first point of contact for both internal and external guests.
  • Deliver administrative support to multiple team members while maintaining discretion and strong organization.
  • Help with office operations and special assignments in a high-energy environment.

Requirements

  • At least 2 years of administrative experience in a corporate office environment supporting executives or business teams; experience with calendars, travel, expenses, and meeting coordination is strongly preferred.
  • Prior experience handling expense reporting and coordinating business travel.
  • Proficiency with Microsoft Office tools, including Outlook, Word, Excel, and PowerPoint.
  • Strong ability to organize work, juggle priorities, and meet multiple deadlines.
  • Clear written and verbal communication skills.
  • Professional, client-oriented demeanor with excellent attention to detail.

Preferred Profile

  • Background supporting executives, financial advisors, consultants, attorneys, or similar professionals.
  • Bachelor’s degree or equivalent professional experience.
  • Recent graduates with substantial corporate internship or office experience and an interest in financial services are encouraged to apply.
