Position Overview

This role supports a partner company by coordinating group travel arrangements across sports, entertainment, corporate, and special events sectors. The coordinator will manage strategic sourcing, vendor negotiations, client relations, and operational logistics to ensure smooth travel execution from initial planning through completion. The job is fully remote within the United States and requires collaboration with internal teams and external partners in a fast-paced environment, focusing on expanding a successful group travel division.

Key Responsibilities

  • Manage group travel plans for a variety of clients ensuring flawless execution and high service standards throughout.
  • Identify and pursue new business opportunities to help grow the group travel services and expand the client portfolio.
  • Source accommodations and hotels, perform bid comparisons via CVENT, negotiate favorable pricing and concessions, and oversee contracts from initiation through completion.
  • Keep digital documentation organized, prepare and audit contracts, Requests for Proposal (RFPs), and travel paperwork, while monitoring important dates and contractual obligations.
  • Maintain client and opportunity data in Salesforce, ensuring pipelines, reports, and operational records are accurate and current.
  • Develop and nurture relationships with hotels, venues, travel providers, and other industry stakeholders to support client success.
  • Coordinate with finance on reporting matters including commissions, hotel reconciliations, and operational analysis, providing leadership with regular status updates.
  • Assist with daily travel operations, client communication, resolving logistical issues, and continuous workflow improvements.

Required Qualifications

  • Bachelor’s degree in Business, Sports Management, Marketing, Hospitality, or a related discipline.
  • Between three to five or more years of relevant experience in group travel, hospitality, sports operations, business development, hotel sales, or related fields.
  • Deep knowledge of group travel logistics such as accommodations, air and ground transportation, catering, meeting spaces, and event coordination.
  • Proven track record negotiating hotel contracts and managing vendor relationships to secure favorable outcomes.
  • Familiarity with major hotel brands and best practices in the hospitality industry.
  • Proficiency in CVENT, Salesforce, Microsoft Office suite, and Google Workspace.
  • Strong organizational, analytical, negotiation, presentation, and communication skills, both written and verbal.
  • Excellent interpersonal skills, customer service orientation, and ability to manage multiple priorities in a fast-paced remote setup.
  • Attention to detail, sound judgment, high professionalism, and ability to work autonomously.
  • Industry contacts or existing network in sports, travel, or hospitality is an advantage.
