About the role

This position supports the Asset and Portfolio Management teams by handling entry-level coordination and administrative work tied to real estate portfolio operations. The role helps keep key records, approvals, meetings, invoices, signature workflows, mail distribution, and landlord communications organized and on track. It also involves building and maintaining productive working relationships with external parties such as landlords and franchisees, as well as internal partners across accounting, tax, legal, construction, operations, facilities, and risk.

The role follows a hybrid work arrangement, with 4 days per week on site and 1 day remote. The primary work location is the Wendy's Restaurant Support Center in Dublin, Ohio, with any location changes subject to management approval and business needs. Travel is expected at about 5%.

Key responsibilities

  • Keep both physical and digital lease portfolio files accurate, complete, and securely stored for easy retrieval and proper records management.
  • Create new files, refresh existing records, and route required documents to the correct teams within required timelines.
  • Support timely execution of portfolio-related paperwork across all transaction types and manage document routing and completion through DocuSign.
  • Sort, review, and distribute department mail.
  • Help obtain certificates of insurance from franchisees.
  • Coordinate landlord and third-party approval workflows for remodels, rebuilds, signage, and other projects that require external approval.
  • Partner with Real Estate, Legal, and Engineering teams to move approval requests forward.
  • Review lease abstracts to confirm whether Wendy's sits within the lease chain and update systems accordingly.
  • Research mailing addresses, issue legal notices, and monitor approvals and follow-ups to completion.
  • Ensure letters of authorization and permits are properly signed when requested.
  • Maintain the surplus real estate tracker and oversee surplus site maintenance and invoicing.
  • Manage surplus invoice and supplier maintenance workflows from bid request through payment approval using Wendy's maintenance system.
  • Support management of third-party vendor invoices used by Asset Management and set up cost centers for pending surplus properties.
  • Assist Asset Managers with REAC-related work, including agenda preparation, package assembly, and folder setup for meetings.
  • Prepare real estate forms and ensure lease and financial details are communicated accurately for REAC meetings.
  • Keep the REAC tracker current with renewals, amendments, and other items reviewed or approved during the year.
  • Help prepare quarterly bulk renewal lists for review and approval.
  • Support REAC meetings by walking through the agenda and assisting during the session.
  • Help create presentations for surplus, purchases, and other special approval items.
  • Maintain team reporting scorecards by collecting monthly figures from portfolio managers and tracking amendments, assignments, renewals, rights of first refusal, and purchase options against monthly goals and financial results.

Requirements

  • Associate's degree, preferably with a business administration focus.
  • 2 to 4 years of progressively responsible executive administrative experience, or an equivalent combination of education and experience.
  • Strong interpersonal abilities with excellent verbal and written communication skills.
  • High proficiency with Microsoft Office Suite, especially Outlook and Excel.
  • Ability to organize input from multiple stakeholders while maintaining strong attention to detail.
  • Comfort working independently with limited supervision in a fast-paced, high-pressure environment.

Additional information

The role offers an hourly pay range of $20.67 to $34.13. The actual offer may vary based on internal equity, budget, job-related knowledge, skills, and experience. The stated range does not include the value of benefits, bonus, or other incentives that may apply. The target annual bonus for this position is 7.5% of annualized base salary, based on actual company and personal performance.
