Role Overview

The Coordinator for People & Culture offers full-spectrum administrative and operational assistance across the employee lifecycle. Collaborating closely with People & Culture, Talent Acquisition, Service Delivery, Resource Management, and leadership, this role handles recruitment, onboarding, employee relations, compliance, and HR operations. The position is essential in enhancing employee experience while ensuring adherence to company policies and employment laws.

Key Responsibilities

  • Manage recruitment activities end-to-end: job postings, interview scheduling, candidate communication, and offer letter preparation.
  • Conduct reference checks, background verifications, and pre-employment paperwork.
  • Maintain applicant tracking systems (ATS) and recruitment documents.
  • Assist hiring managers in the recruitment process.
  • Organize onboarding and orientation for employees, consultants, contractors, and interns.
  • Prepare employment contracts and new hire documentation, ensuring readiness of equipment, access, and workspace in coordination with IT and Facilities.
  • Supervise offboarding, including exit documentation, company asset recovery, and access termination.
  • Manage accurate, confidential employee records in the Human Resources Information System (HRIS).
  • Generate employment-related documents such as verification letters, contract changes, and promotion letters.
  • Process employee status updates, compensation changes, transfers, and maintain workforce data.
  • Produce HR reports and metrics supporting business decisions.
  • Coordinate payroll-related data updates and support benefits enrollment and inquiries.
  • Track leaves of absence and maintain relevant documentation while liaising with payroll and benefits vendors.
  • Respond to employee HR inquiries and provide guidance on policies, benefits, leave programs, and procedures.
  • Support managers with employee lifecycle documentation and escalate complex issues as needed.
  • Coordinate employee engagement activities including recognition programs, wellness initiatives, and events.
  • Assist with learning and development programs, mandatory training, employee surveys, and engagement plans.
  • Promote an inclusive and positive company culture aligned with diversity and equity goals.
  • Ensure compliance with employment laws, health and safety standards, privacy rules, and internal HR policies.
  • Maintain HR documentation for audits and coordinate compliance training and policy acknowledgments.
  • Support work authorization documentation where relevant.

Qualifications

  • Diploma or bachelor's degree in human resources, business administration, or related field.
  • CHRP designation or pursuit thereof is advantageous.
  • 2 to 5 years’ experience in human resources, ideally within MSPs, IT services, technology, or consulting sectors.
  • Familiarity with Ontario employment standards and HR best practices.
  • Experience using HRIS platforms such as Workable, Humi, BambooHR, or equivalents.
  • Proficient with Microsoft 365 tools including Word, Excel, Outlook, and Teams.
  • Excellent organizational, communication, and interpersonal skills.
  • Capability to juggle multiple priorities while preserving confidentiality and attention to detail.
  • Experience supporting contingent workforce management, staffing agency coordination, and compliance is a plus.
