Prompt is building highly automated, modern software for rehab therapy businesses, the teams that support them, and the patients they serve. The company is growing quickly and is seeking a Contracts and Legal Department Administrator to strengthen legal operations during this expansion.
Role Summary
In this position, you will work with a remote and/or headquarters-based legal team and report to the Associate General Counsel. The role is central to day-to-day legal operations, requiring someone who can independently manage administrative and organizational work, create efficient systems, and improve how the Legal Department supports the wider business. The company is looking for a detail-oriented, highly organized, self-directed professional with strong communication skills who can adapt well in a fast-moving environment.
Key Responsibilities
You will manage contract administration and legal intake workflows, maintain templates and records, support compliance and litigation tracking, and help build better processes across the department. The role also includes drafting routine legal documents, coordinating legal projects, supporting attorneys with operational tasks, and helping improve automation and document management practices.
Initial Expectations
- Handle contract administration end to end, including tracking the full contract lifecycle.
- Manage the intake and review process for legal requests.
- Keep company contract templates current and accurate.
- Build and refine workflows for contracts, litigation, and compliance tracking.
- Help create templates, playbooks, and standard operating procedures for repetitive legal work.
- Support evaluation and adoption of automation tools that reduce manual effort.
- Establish document naming standards and maintain consistent file organization.
- Work with leadership to ensure legal support for contracting and other operational needs runs smoothly.
- Maintain the company’s official electronic files and corporate records.
- Draft, review, and process routine contracts and legal documents with limited supervision.
- Coordinate and manage Legal Department projects.
- Contribute ideas and hands-on support for improving legal processes and review procedures.
- Provide general administrative and formatting support to attorneys and the Legal Department.
- Follow company guidelines, employment policies, and internal procedures.
- Take on additional projects as needed.
Education and Experience
This role calls for an undergraduate degree along with experience in contract management and paralegal work. Candidates should also have experience implementing and administering a contract or document management system.
Working Style and Competencies
The right person will be able to communicate professionally with internal teams, vendors, and contracting parties with minimal attorney oversight. They should be exceptionally organized, careful with details, comfortable handling changing priorities, able to work under pressure, and committed to confidentiality. Strong interpersonal skills, a positive and professional demeanor, analytical thinking, and sound decision-making are also important. Proficiency with Microsoft Word, Adobe Acrobat Professional, and Google Workspace is expected.

Compensation
The salary range for this position is $75,000 to $100,000 per year.
