Role Overview
This position serves as the primary administrative liaison within the office, providing crucial support to project managers, clients, tradespeople, and council authorities. Ideal candidates are proactive, detail-oriented, and confident in engaging with diverse stakeholders.
Key Responsibilities
- Manage contract administration by preparing, issuing, and monitoring construction contracts, purchase orders, and variations.
- Maintain well-organized digital documentation for all projects.
- Assist in handling compliance documents, permits, and certification processes.
- Participate in client liaison meetings alongside project managers and directors.
- Act as the initial contact point for all client inquiries.
- Provide updates on project status and facilitate communication between clients and project managers.
- Coordinate scheduling for meetings, on-site visits, and follow-up activities.
- Support accounting functions including invoice processing, account reconciliation, and basic bookkeeping.
- Monitor project budgets and manage supplier payments efficiently.
- Assist with payroll and prepare weekly financial reports.
- Handle communication and application processes involving architects, engineers, council officials, building surveyors, and inspectors.
- Ensure timely submission of all compliance and regulatory documentation, including building and occupancy permits as well as council approvals.

- Proven experience in construction administration or a related field.
- Excellent communication abilities paired with a professional demeanor.
- Strong organizational skills with meticulous attention to detail.
- Capability to juggle multiple tasks across various projects simultaneously.
- Confidence in interacting with clients, trades personnel, and council representatives.
- Proficient in Microsoft Office along with project management or construction administration software.
