Overview
This opportunity is for a Compliance Specialist in Canada, shared on behalf of a partner organization that handles the application review and subsequent hiring steps. The role sits within a busy consulting environment and focuses on protecting operational integrity across vendor, client, insurance, and security compliance activities.
The position is well-suited to someone who is highly organized, precise, and comfortable coordinating work across multiple teams and outside partners. You will help keep onboarding processes accurate and compliant, support regulatory alignment, and ensure records and documents are complete and up to date. Regular interaction is expected with finance, safety, IT, and risk teams in a setting that values collaboration, structure, and process improvement.
Key responsibilities
- Coordinate compliance work from start to finish for vendor, client, insurance, and security-related processes, with a focus on accuracy and timely completion.
- Review vendor onboarding submissions and confirm they meet internal standards before approval.
- Keep vendor information current in internal systems and work with Accounts Payable and risk stakeholders to manage updates.
- Monitor WSIB and WCB compliance across provinces and make system updates for vendors that are not compliant.
- Assist with client onboarding by gathering data, preparing prequalification documents, and setting up records in SharePoint and other internal tools.
- Maintain client databases and verify that information remains accurate and aligned with engagement requirements.
- Prepare insurance certificates and clearance documents in response to RFPs, tenders, and client-specific requests.
- Coordinate with insurance brokers and internal teams when handling more complex insurance matters.
- Support the Security Clearances team with compliance documentation and clearance-related requirements when needed.
Requirements
- Post-secondary education and at least 5 years of experience in administrative or compliance-focused work.
- A solid grasp of insurance and risk management, or the ability to quickly learn applicable regulatory requirements.
- Background in vendor and client onboarding within a structured work environment.
- Strong accuracy, analytical thinking, and problem-solving ability.
- Clear communication and interpersonal skills, including confidence working with senior stakeholders.
- Comfort using Microsoft Office and familiarity with SharePoint or similar platforms.
- Ability to work independently with limited supervision in a remote or hybrid environment.
- Eligibility to obtain security clearance, including a clean criminal record and meeting Canadian residency conditions.
- Ability to obtain and maintain Controlled Goods certification.
