Job description
Role Overview
This is a full-time, permanent remote position for a Canada-based professional who will regularly travel to First Nations communities. The schedule is flexible, but you must be available across Canadian time zones because clients are located in every province and territory.
The position is not a simple software install-and-exit assignment. It calls for a hands-on operator who can enter a community, build trust with Band Managers, Housing Directors, or Councils, and help transform disconnected records, spreadsheets, binders, and shared drives into a single working system. Success is measured by real adoption: departments onboarded, staff using the platform daily, and Nations keeping control of their data.
About the Organization
melyn is an operating system designed for First Nations in Canada. The platform brings together housing, infrastructure, governance, economic development, grants, finance, and community engagement in one place. More Nations across the country are connecting to melynBrain each week.
The company focuses on delivering outcomes rather than selling seats or billable hours. The impact of the work can be seen in teams that finally have a clear view of their operations, finance groups that can compare budgets to actuals in real time, and leadership that can make decisions with confidence.
What the Role Involves
You will own the full implementation lifecycle inside each Nation, including data migration, system setup, training, customization, pilot rollout, and full launch. You will work closely with teams in Governance, Project Management, Grants, Housing, Finance, and Community Engagement to bring each module into active use.
Most users will not be technical. Many will be moving away from paper files, binders, email chains, or spreadsheets. Your job is to teach patiently, explain clearly, and help people shift from disconnected work habits to a connected system that makes their jobs easier.
This is a relationship-driven role. Some weeks will be focused on configuration and data work; others will require being in community, troubleshooting live issues, coaching users, and turning cautious stakeholders into confident daily users.
Core Responsibilities
You will lead implementations on an 8 to 10 week timeline, starting with data migration and setup, followed by department training and customization, and ending with pilot and rollout.
You will transfer existing Nation records such as policies, BCRs, contracts, historical applications, housing inventories, and budgets into a structured, searchable, version-controlled environment.
You will set role-based access, build audit trails, and adjust each module to match how each Nation actually operates.
You will document current workflows, files, systems, and gaps for each department before shaping how melyn should be introduced.
You will research each Nation in advance so you arrive informed about its context, priorities, and operating style.
You will onboard the key modules with the relevant departments, including Governance and Document Management, Project Management, Grant Management, Housing and Property Management, Financial and Budget Management, and the Community Engagement portal.
You will travel regularly to reserves to conduct training, support pilot phases, resolve issues on site, and help adoption take hold.
You will listen carefully in every session and use that feedback to refine configuration, training, and support.
After go-live, you will act as the dedicated success contact through priority support, recurring check-ins, and quarterly strategy sessions.
You will serve as the connection between the community and the product team, bringing back practical feedback that helps improve the platform.
You will help create playbooks, onboarding flows, and training resources so implementations can become faster and more scalable over time.
Training and Change Management
You will support learners at every comfort level, including Council members, Elders, and frontline administrators who may be using new software for the first time.
You will explain technology in everyday language without jargon, assumptions, or rushed instruction.
You will work patiently with users who are hesitant, nervous, or have had frustrating experiences with previous systems.
You will develop practical reference materials, step-by-step guides, and walkthroughs that staff can use after your visits.
You will stay beside users through their first real tasks until they can complete them independently and confidently.
You will approach adoption as a people challenge first and a technical challenge second.
What You Bring
At least 3 years of experience in implementation, customer success, onboarding, project delivery, operations, IT rollout, or another client-facing role where you were responsible for getting a solution launched and adopted.
Strong candidates may come from software implementation, customer success, ERP or SaaS rollouts, public sector or band office operations, economic development organizations, Indigenous advisory work, or similar hands-on operational roles.
Applicants with less direct experience may still be considered if they demonstrate strong ownership, initiative, and the ability to win people over.
You should hold a bachelor's degree in any field from a recognized Canadian or international university.
You need to be comfortable with technology and capable of teaching it to people who are not yet comfortable using it.
You should have strong presentation and training skills, with the ability to read a room and adjust your approach until the message lands.
You need strong research instincts and the habit of gathering context before you arrive, then asking smart questions on site.
You must be organized, self-directed, and able to manage multiple implementations at different stages without losing track.
You should be comfortable travelling, spending time on reserve, and being away from home for stretches.
You must be willing to work across Canadian time zones.
You should have respect for Indigenous self-determination, governance, and OCAP principles, along with cultural humility and a willingness to learn quickly.
Bonus Experience
Helpful but not required: prior work with First Nations, Métis, or Inuit communities, organizations, or governments; experience in band office operations, housing administration, grants, or financial management; background in SaaS implementation, ERP systems, or data migration; familiarity with AI tools or modern data stacks; a valid driver's license; willingness to travel to remote and rural communities; bilingual ability or fluency in an Indigenous language.
Who This Role Suits
This opportunity is ideal for someone who teaches naturally, listens first, and helps non-technical users feel capable rather than intimidated. You should be someone who asks good questions, takes careful notes, and remembers what matters.
You should be comfortable doing thorough homework before a community visit, mapping current processes and identifying where records, systems, and pain points are located.
You should stay steady when the data is messy, the room is tense, or the same question comes up repeatedly.
You should care about adoption beyond launch day and consider the work successful only when the team is using the system daily.
Data Sovereignty
The platform is built on the principle that each Nation owns its own data. Every Nation is hosted in a secure, isolated Canadian database with no cross-contamination, complete audit logging, and the ability to export data at any time. You will need to communicate this clearly and reinforce it through your work.
Why Join
Compensation is based on experience and fit. The company rewards results and ownership rather than seniority alone.
There is meaningful room to grow, with strong performers advancing quickly.
The role is fully remote from home, while still involving regular hands-on work in community.
You will be supported by a platform that includes melynBrain, grant intelligence, and AI-powered document workflows.
You will join a team of operators focused on real-world delivery rather than presentation-first work.
The position offers exposure to important, high-impact work across the country.
