Role Overview

The Clinical Secretary is responsible for delivering senior-level administrative and operational assistance to clinicians in consultation rooms and across the clinic. The position is focused on smooth coordination, clear and caring communication with patients, and reliable scheduling and admin support that helps maintain high standards of care.

Key Duties

  • Support clinicians with administrative and executive tasks during consultation sessions.
  • Arrange patient appointments, procedure schedules, and clinician calendars.
  • Welcome patients and provide professional, friendly front-of-house support.
  • Handle clinical admin work such as data entry, record management, and billing assistance.
  • Work closely with clinicians, nursing staff, laboratory teams, and other internal contacts.
  • Assist with embryo transfer workflows and other clinic procedures when needed.
  • Manage patient questions through phone and email communication.
  • Keep clinical and office supplies adequately stocked.
  • Maintain confidentiality and follow healthcare rules, standards, and protocols at all times.
  • Help with education sessions, meetings, and occasional after-hours clinic requirements.

What You’ll Need

  • At least 1 to 2 years of experience in medical reception or healthcare administration.
  • Well-developed customer service skills with a strong patient-first mindset.
  • Comfortable using computers and multiple systems at an intermediate level.
  • Strong verbal and written communication abilities, plus good people skills.
  • Ability to organise work, manage priorities, and operate both independently and as part of a team.
  • High attention to detail and solid organisational capability.
  • A professional, empathetic approach with a strong respect for confidentiality.
  • Knowledge of medical terminology and healthcare systems would be helpful.
