Role overview
Cambridgeshire Community Services NHS Trust is looking for an experienced, well-organised Band 4 Clinic Coordinator / Personal Assistant to join its Neurodevelopmental Skill Mix Team within the Community Paediatric Service in Huntingdon, England, United Kingdom.
This position is central to the smooth running of clinics and patient pathways. You will provide wide-ranging PA and administrative support to the clinical lead and clinicians, helping the service deliver efficient, high-quality patient care.
What you will do
- Provide personal assistant and administrative support to the Clinical Lead and wider clinical team.
- Plan and coordinate clinics, including appointment booking, room scheduling, and rota management.
- Handle referrals and patient pathways through electronic systems such as SystmOne.
- Prepare and manage clinical correspondence, including clinic letters and reports.
- Serve as a main contact for clinicians, patients, and outside agencies.
- Support the effective operation of clinics and pathways, including monitoring waiting times.
- Take minutes at meetings and assist with service meetings.
- Respond appropriately to patient questions, concerns, and complaints.
- Contribute to service improvement work and administrative projects.
- Supervise and support administrative colleagues.
- Keep records accurate and ensure communication across teams remains timely and clear.
Additional responsibilities
The post holder will also maintain patient records, manage referrals, coordinate clinic bookings and correspondence, and act as a communication bridge between clinical teams, administrative staff, and external stakeholders. The role calls for strong prioritisation, initiative, and the ability to work effectively in a busy environment. You will also contribute to service development, audits, administrative processes, and staff training.
