About the Role
The Client Services Coordinator at Lifelong, a community health organization focused on accessible health and food services, serves as a pivotal part of the team in Everett, WA. This full-time, non-exempt union position operates weekdays from 8:30 AM to 5:00 PM onsite, supporting client service delivery and office operations to promote health equity.
Key Responsibilities
- Handle incoming calls to the main office phone, redirecting and managing mail and faxes efficiently.
- Assist clients, vendors, and the public to understand and utilize Lifelong's services effectively.
- Manage agency referrals, processing both internal and external requests for services.
- Prepare new clients for service engagement by setting expectations, collecting eligibility documentation, and addressing access barriers.
- Coordinate client intakes with case managers and maintain accurate electronic records and completed eligibility assessments.
- Maintain a clean and welcoming office environment including preparation for events.
- Greet visitors in the front lobby and facilitate staff introductions as required.
- Support staff in distributing supportive services with logging and database documentation.
- Provide clients with information about community resources.
- Maintain office supplies, ordering and verifying received materials, and organizing shared office equipment.
- Submit and track IT and facilities maintenance tickets, coordinating with relevant departments to resolve issues.
- Schedule and facilitate vendor visits for deliveries, repairs, and maintenance.
- Lead safety training and drills for office personnel, participate in safety committee activities, maintain safety supplies, and report safety concerns.
Required Qualifications and Attributes
- Demonstrated clear and professional communication skills, both verbally and in writing, with a strong customer service orientation.
- Comfort with diverse populations, including various abilities, races, classes, genders, and sexual orientations.
- Ability to operate calmly in stressful situations using crisis management and de-escalation techniques.
- Self-motivated with strong organizational skills to manage multiple priorities independently.
- Collaborative team player able to advocate respectfully for systemic improvements across different systems.
- Flexibility in adapting to shifting priorities while maintaining a client-centered focus.
- Proficient in Microsoft Word, Excel, and experienced in database entry and electronic document management with accuracy.
- Openness to professional growth and constructive feedback.
Education and Experience
- High school diploma or equivalent combination of relevant education and experience.
- Previous experience in healthcare services administration, advocacy groups, or similar roles preferred.

Work Environment and Other Requirements
- New hires working directly with clients must complete TB testing within 30 days of starting and annually thereafter.
