Job description
Company Overview
The organization is an AI-powered trade platform focused on industrial supply for infrastructure, energy, and construction materials. It brings together approved suppliers from Asia, Europe, and the GCC with local buyers through one connected platform.
Its proprietary AI system automates the end-to-end materials trade process, covering sourcing, pricing, stock management, logistics, and embedded financing. By replacing manual, relationship-based workflows with real-time coordination, it creates a more predictable and scalable operating model.
Customers receive fast quotations, dependable product availability, and more reliable delivery through a single operating system. Suppliers gain better forecasting, tighter demand management, and easier integration into cross-border fulfillment networks. The business supports both dropship and cross-dock fulfillment for large transactions, helping turn global supply chains into repeatable software-like processes.
The company has reached triple-digit-million GMV, is active in six international markets, and is moving quickly toward profitability. It has a team of more than 80 people across Berlin and Asia and is building what it describes as the world’s first industrial-grade AI operating system for materials.
It is supported by leading investors and institutional banking partners, and has recently completed a $40m Series B round with backing from Atomico, Project A, and Invent Capital, alongside institutional support from Commerzbank and KfW.
Role Summary
As Chief of Staff, you will act as a close strategic partner to the founders and leadership team. The position combines strategic thinking, organizational design, and hands-on delivery. You will lead important initiatives, improve how the business operates as it grows, and help turn leadership priorities into measurable outcomes.
Key Responsibilities
- Drive high-priority strategic initiatives from early concept through to completion, working closely with senior leaders and department heads.
- Support executive decision-making by structuring complex problems, weighing alternatives, and helping shape rollout plans.
- Advise the founders and leadership team with practical insights, risk awareness, and clear recommendations.
- Convert company strategy into actionable priorities, plans, and execution across teams.
- Assess and improve organizational structure, identify skill or capability gaps, and launch initiatives to address them.
- Design and refine internal workflows, meeting formats, and operating rhythms so the company can scale efficiently.
- Strengthen cross-functional collaboration by improving coordination systems and ways of working.
- Own essential internal tools and processes such as project billing, time tracking, budget tracking, and invoicing.
- Work with senior managers and department leads to keep daily operations aligned and execution on track.
- Identify operational friction early and solve underlying causes rather than only addressing surface-level issues.
- Provide selective administrative coordination when needed to remove blockers for strategic work.
- Create presentations, narratives, and other materials for workshops, pitches, leadership discussions, and company-wide communications.
- Turn complex topics into concise, decision-ready messaging that helps align stakeholders.
- Act as a thought partner to executives on structure, messaging, and strategic framing.
- Serve as a central link between staff, senior leaders, and the CEO to maintain visibility into team health, company climate, project progress, and future planning.
- Build trusted relationships across functions to improve responsiveness, resolve issues quickly, and increase organizational effectiveness.
- Help sustain a high-trust, high-performance culture by spotting misalignment early and supporting constructive resolution.
- Monitor progress on key initiatives, synthesize performance findings, and share actionable insights with executives and stakeholders.
- Proactively surface risks, opportunities, and strategic options to improve business outcomes.
- Set up transparent reporting that gives leadership the visibility needed to steer the business without unnecessary bureaucracy.
What Success Looks Like
- Strategic initiatives progress faster and with stronger ownership and outcomes.
- Leadership receives high-quality insights, clear decision paths, and dependable execution.
- The organization scales smoothly through better structure, processes, and operating cadence.
- Teams feel aligned, informed, and supported through strong cross-functional coordination.
Role Boundaries
- This position is not a personal assistant role, so it does not primarily focus on calendars, travel arrangements, or routine logistics.
- You will not be responsible for absorbing miscellaneous low-value tasks that do not create strategic leverage.
- The role is not designed around managing a large team; influence and coordination matter more than direct headcount ownership.
- You may occasionally handle administrative coordination, but only when it is the most effective way to move important work forward.
Equal Opportunity
The employer welcomes applicants from all backgrounds and does not discriminate on the basis of race, ethnicity, gender identity or expression, sexual orientation, religion, age, disability, or any other protected characteristic. Diversity is viewed as a driver of innovation, creativity, and strength.
