Role Overview
This dual-faceted role delivers senior-level administrative and operational assistance to the Chief Financial Officer while also supporting the finance and technology divisions under the CFO's supervision. The position is pivotal to maintaining seamless daily operations, overseeing logistics, and aiding projects related to finance and technology. The successful candidate will be highly methodical, proactive, adept with multiple AI platforms, enthusiastic to learn, adept at juggling several tasks under a fast-moving setting, and an effective communicator.
Key Responsibilities
- Support and coordinate efforts within the Finance team, dedicating roughly 70% of working hours to these tasks.
- Provide financial and reporting assistance, including enhancing and managing recurring financial templates like weekly reports.
- Monitor deliverable deadlines and ensure involved parties provide timely information while managing a shared planning calendar.
- Manage approval workflows and control processes in partnership with Accounting, Internal Audit, and other relevant departments to maintain proper documentation and adherence to procedures for the CFO's office.
- Offer investor relations support such as preparing for earnings calls, managing logistical arrangements, targeting investors, and creating presentations.
- Assist finance team members on cross-departmental projects encompassing FP&A, IT, planning, mergers and acquisitions, capital markets, corporate communications, and strategic projects.
- Collaborate with IT to identify practical applications for sanctioned AI tools within FP&A operations, translating finance needs into actionable criteria and encouraging AI-driven enhancements in planning, reporting, analysis, and executive support functions.
- Allocate approximately 30% of time to executive support for the CFO including calendar and meeting management, document preparation and routing involving e-signature processes, as well as travel and expense coordination encompassing domestic and international arrangements.
- Organize and manage CFO office events, FP&A all-hands meetings, town halls, and leadership or team gatherings, ensuring all materials are prepared and distributed in advance.
Required Experience and Education
- Between 2 to 5 years of experience in finance, accounting, or consulting roles, ideally involving interaction with executives.
- Bachelor’s degree in Business, Finance, or related disciplines is preferred but not mandatory.
Desired Skills and Qualifications
- Basic to intermediate proficiency with approved AI tools or a strong eagerness and ability to become AI fluent, with an emphasis on responsibly leveraging AI for enhancing finance, reporting, and administrative workflows.
- Experience handling confidential financial and strategic documents with high discretion.
- Strong attention to detail and organizational capabilities.
- Excellent oral and written communication.
- Capability to manage relationships and influence a variety of stakeholders across departments without direct authority.
- Passion for continuous process and workflow improvement.
- Familiarity with accounting terminology, invoicing, or financial software is a significant advantage.
- Self-motivated with strong ownership and follow-through on tasks.
- Ability to adapt to demanding and flexible working hours.
- Proficiency in Microsoft Office suite with advanced skills in Excel.
- Comfort managing high-pressure, high-energy situations.
