Role overview

This opportunity is for a Business Administrator focused on fleet, procurement, and office operations, based in Germany. Applications and subsequent hiring steps are handled by a partner company. The role sits at the center of day-to-day business continuity, combining coordination, compliance, and practical execution across vehicle management, supplier handling, and administrative support.

You will be responsible for keeping operational processes running smoothly and in line with internal rules and local requirements. The position involves close collaboration with employees, vendors, management, and cross-functional teams, while also supporting cost control and continuous improvement across core business activities.

Key responsibilities

  • Oversee the complete fleet process from vehicle ordering and contract handling to usage tracking and vehicle returns.
  • Make sure fleet activities follow company policies, procurement standards, and relevant local legal requirements.
  • Coordinate with suppliers and service partners, including contract discussions for vehicles, mobile devices, and operational services.
  • Handle sourcing and purchase activities for office, IT, and laboratory equipment with a focus on value and supplier reliability.
  • Manage the issueing and return of assets for employee onboarding and offboarding.
  • Check invoices, keep budget oversight, and confirm that spending matches agreed contract terms.
  • Process accident-related claims and coordinate with insurers, repair partners, and internal teams.
  • Serve as the main contact for operational requests from employees, leadership, and outside partners.

Requirements

  • A certified Fleet Manager qualification from DEKRA, TÜV, or an equivalent provider is required.
  • Previous experience in administration, fleet coordination, procurement, or similar operational support roles is expected.
  • Good knowledge of contracts, compliance obligations, and procurement workflows.
  • Experience managing external vendors and maintaining service-provider relationships.
  • Strong planning, multitasking, and detail management abilities, with a high sense of ownership.
  • Confident communication and stakeholder coordination skills across different functions.
  • Comfort using MS Office and business platforms such as Concur, Oracle, or comparable systems.
  • Fluency in German and a good working knowledge of English, both spoken and written.
  • A proactive, well-structured, and solution-focused approach with the ability to work independently.
  • Capability to manage several priorities in a busy, accuracy-critical environment.
