As a member of this intimate team, you will play a vital role in daily operational tasks and the business's ongoing growth.
Role Summary
This full-time position based primarily onsite in West Lafayette, Indiana, blends routine bookkeeping duties with general administrative and operational responsibilities. It requires flexibility, problem-solving skills, and the ability to prioritize varied tasks while supporting multiple facets of the business and working closely with company leadership.
Key Responsibilities
- Reconcile bank, credit card, customer, and vendor transactions using QuickBooks Online
- Maintain precise and current financial records
- Handle accounts payable and receivable activities
- Assist with customer invoicing, payment processing, and collection efforts
- Verify transaction accuracy and appropriate categorization
- Support payroll management via automated systems
- Prepare and submit sales tax reports
- Generate regular financial and operational reports
- Organize all related financial documentation such as receipts and purchase orders
- Identify, investigate, and resolve financial discrepancies
- Liaise with company owners, accountants, customers, and vendors when necessary
- Support order processing, data entry, and the preparation of documents
- Manage customer and vendor inquiries or direct them accordingly
- Maintain well-ordered digital and physical records
- Assist with purchasing, inventory tracking, and shipping paperwork
- Prepare correspondence, spreadsheets, and other business-related documents
- Contribute to administrative process improvements as the company expands
- Monitor outstanding tasks, deadlines, and necessary follow-up actions
- Provide miscellaneous business support and assistance with projects for company ownership
- Perform other reasonable duties as assigned
Candidate Qualifications
- Prior experience in bookkeeping, accounting support, or similar roles
- Proficiency in using QuickBooks Online software
- Familiarity with account reconciliation, accounts payable, and accounts receivable
- Exceptional attention to detail and commitment to accuracy
- Competent in spreadsheets, email communication, and typical office software
- Ability to responsibly manage sensitive financial and business information
- Strong organizational, communication, and analytical problem-solving abilities
- Reliable attendance with capacity to work independently
- Adaptability to shifting priorities without losing sight of critical details
- Flexible, cooperative mindset willing to assist beyond a rigid set of tasks
Additional Information
- A college degree is not mandatory; relevant experience, dependability, sound judgment, and eagerness to learn are valued
- Full-time commitment approximating 40 hours weekly with work mainly during weekday business hours
- Hourly, non-exempt role with variable scheduling based on business needs
- Primary work location is onsite in West Lafayette, Indiana, with some limited occasional remote work possible but not regularly scheduled
- Compensation ranges from $21 up to $25 per hour depending on experience
