About the role

This position is suited to someone who takes initiative, thinks ahead, and prefers solving problems over waiting for instructions. The ideal candidate is highly organized, dependable, and comfortable stepping into several areas of responsibility, from online shop operations to client support and team logistics.

You should enjoy taking ownership, keeping things moving, and seeing tasks through to completion. If you like work that is varied and hands-on, this role will fit well.

Online shop operations

  • Manage and monitor incoming orders end to end
  • Prepare invoices and organize information needed for bookkeeping
  • Support customers by email and chat in a helpful, quick, and solution-oriented manner
  • Process returns and handle customer complaints

Client management support

  • Act as the first contact for client requests that are not handled directly by account management
  • Arrange meetings and help prepare calls
  • Compile reports and supporting documents

Office and team coordination

  • Arrange travel and hotel bookings
  • Coordinate meetings and other routine office logistics
  • Take care of general office tasks that help the team operate smoothly
  • Step in wherever support is needed

What you bring

We are looking for someone who is proactive, solution-driven, and able to work in a structured and reliable way even during busy periods. Strong English is required, and German is a significant advantage because many clients speak German.

You should be comfortable using common digital tools such as Google Workspace and ClickUp, and familiarity with Shopify is helpful, though it can be learned on the job. Previous exposure to e-commerce, office administration, or customer support is beneficial but not mandatory. Since sensitive topics may pass through this role, discretion is important.
