Role overview
This position supports the Vice Presidents in E-Commerce and Retail with day-to-day executive and administrative coordination. The role sits in Herzogenaurach, Bavaria, Germany, and focuses on keeping schedules, meetings, travel, communication, and documentation running smoothly for the wider Global Retail and eCommerce teams.
Key duties
- Manage daily executive support tasks such as calendar coordination, room reservations, travel planning and bookings, meeting notes, follow-up actions, and expense reporting.
- Organize internal and external meetings and workshops, including invitations, guest handling, room setup, and catering arrangements.
- Contribute to a range of projects connected to Retail and E-Commerce.
- Draft reports and presentations, assist with research and analysis, and handle coordination tasks across cross-functional teams.
- Provide broad administrative and office assistance to the Global Retail and eCommerce teams.
Profile and working style
The ideal candidate has completed an apprenticeship or academic studies in a relevant area and shows strong interest in E-Commerce and Retail. Prior experience supporting senior leaders in international, fast-moving environments is important, along with confidence in calendar ownership, stakeholder coordination, and managing workflows independently.
Additional requirements
Excellent English and German communication skills are required. Strong proficiency in MS Office, Google Workspace, and collaboration platforms is expected. The role also calls for experience with travel coordination, logistics, vendor management, and budget administration. The candidate should be exceptionally organized, discreet, proactive, adaptable, resilient, and able to build strong working relationships. A solutions-focused mindset and a commitment to professionalism and quality are essential. Flexible working hours should be comfortable for the applicant.
