About the Role
The Office of Campus Housing (OCH) at Nanyang Technological University (NTU) is dedicated to creating an exceptional living, learning, and working environment on campus. OCH manages student and faculty housing, sports and recreational facilities, and related services.
We seek a motivated individual passionate about providing outstanding support to campus residents, including students, faculty, athletes, and users of campus sports and recreation facilities.
In the position of Hall Office Lead, you will have the opportunity to develop and apply leadership capabilities and customer relationships management skills within the department.
Key Responsibilities
- Oversee and administer the hostel application process, including room/housing assignments, waitlist management, and handling student accommodation appeals.
- Conduct thorough inspections to ensure rooms and housing units meet quality standards before student check-in.
- Manage accurate billing of hall fees and relevant charges, ensure timely collections, and process refunds where applicable.
- Coordinate with internal departments and external contractors to monitor maintenance and repair progress for student hostels.
- Engage proactively with student residents to understand and address their needs, resolve requests and complaints promptly in accordance with service level agreements.
- Prepare and distribute advance communications regarding scheduled maintenance, repairs, or any disruptions affecting residents.
- Organize routine walkthroughs of properties under OCH management to assess and enhance safety and security measures.
- Lead investigations into incidents, document findings, recommend disciplinary actions as per severity and recurrence of violations, and escalate serious breaches for further measures.
- Maintain accurate and current records of residents, occupancy, and availability to support billing and management reporting.
- Ensure all facility reservations go through official booking procedures, with proper management of event preparations and follow-ups.
- Supervise inventory activities, including regular stock audits and disposition of assets within the cluster.
- Manage procurement activities by defining needs, preparing quotations and tenders, evaluating submissions, and advising on contract awards.
- Provide leadership to Hall Office staff, ensuring effective deployment, supervision, onboarding, and training so that all personnel are knowledgeable of policies and duties.
Required Qualifications and Experience
- A bachelor's degree with more than 3 years of managerial experience or a diploma with over 5 years of managerial experience in areas such as residential management/services, customer service, hospitality management, or central administration.
- Experience in managing student hostels, staff housing, or hospitality services is beneficial.
