Role overview

The selected candidate will partner with the Regional Company Secretary and handle company secretarial and related matters for group entities across Asia Pacific, with a particular focus on Singapore. This is a broad, fast-moving role suited to someone who enjoys variety rather than a conventional company secretarial setup. The remit covers a large portfolio of companies across several jurisdictions, along with project work and ad hoc requests. A practical, hands-on approach is essential, as the role includes both legal/corporate documentation and routine administrative tasks such as filing, signature coordination, and correspondence. The role is also part of a global team that collectively supports group companies worldwide.

Key responsibilities

  • Take ownership of company secretarial administration and compliance for more than 25 Singapore-incorporated entities.
  • Prepare, coordinate, and ensure timely execution of corporate and legal documents, including resolutions, board minutes, powers of attorney, bank facility papers, share transfers, loan documents, guarantees, and services agreements.
  • Deliver legal and administrative support for a portfolio of companies, including document control, record management, and related back-office processes.
  • Work closely with internal teams such as legal, tax, finance, and treasury, as well as with external providers, advisers, auditors, lawyers, and company agents.
  • Complete ACRA filings and notifications for Singapore entities.
  • Keep statutory registers and minutes books accurate and up to date.

Knowledge, skills and abilities

The role requires solid experience in Singapore company secretarial practice, including familiarity with company law principles and compliance obligations. Exposure to other jurisdictions, especially within the region, is an advantage, though not mandatory. The ideal candidate will bring a law degree and/or a professional qualification such as ICSA, along with 5 to 8 years of relevant experience.

Success in this role also depends on the ability to perform well in a commercial, fast-paced environment and communicate effectively with senior stakeholders and colleagues across different time zones. Candidates should be able to work independently, handle shifting priorities, and find practical solutions quickly. A proactive, hands-on attitude, strong written and verbal communication skills, fluency in English, and a meticulous, organized working style are important. Comfort with MS Office, Computershare, GEMS, or similar company secretarial systems, as well as ACRA Bizfile lodgements, is also expected. Additional languages are useful but not essential.

Reporting and relationships

This position reports directly to the Group Company Secretary in Geneva, Switzerland and functionally to the Regional Company Secretary in South Africa. The role involves regular interaction with the Group Company Secretary, other regional company secretaries, directors and colleagues in Singapore, and teams located in other offices around the world.
